BILATERAL AGREEMENTS • Basis for the exchange • WHO - departmental, faculty or university level • WHEN - All the year (recommendable before the call for proposal for students, obligatory prior to student’s departure ) • WHAT – how many students, at what level, for which subject area, for how long (min.3 month-max 12 month)

OUTGOING STUDENTS • General information for outgoing students (web site, information meetings) • Call for applications (selection done at the faculty level) • Nomination to partner universities • Student’s input – finding information on host institution’s application procedure, defining Learning Agreements, sending Application forms to host university

  7. Financial management of Erasmus grant (application forms for the grant, data processing, contracts to students, transfer of 80% of the grant to student’s account) • Collecting documents after students return • Transfer of 20% of the grant to students

TIME - TABLE • January – call for proposal for student exchange – our office • February, March -selection of students – faculty • 15 March – deadline • April – nomination of selected students to partner universities – our office • April, May, June – response from partner institutions- application procedure instructions • June, July – applications for the grant – students to our office • August, September – financial contracts between university and students and money transfer to students • End of September – departure of students • November – applications for the grant – second semester • January, February – financial contracts, money transfer and departure of students • February – reports from first semester, transfer of 20% of the grant to students • June, July, August - reports from second semester, transfer of 20% of the grant to students

INCOMING STUDENTS • General information for incoming students (web site, booklet, individual communication by e-mail) • Application procedure – our deadlines: 15 May, 15 November • Processing documents – faculty level • Confirmation letters and information package • Housing (student dormitores, private) • Arrival check point

  11. EILC • Student organization – student visiting cards, meal coupons, bus cards, used bikes, sport activities, social integration (parties, trips…) • Semester start

TIME - TABLE • February, March, April – nomination of foreign students, individual communication • 15 May – our application deadline • May, June – documents (Learning Agreements) processed at the faculty • June, July – informing students by sending acceptance letters and info packages • 31 May – deadline for EILC • Beginning of September – arrival of students, info meeting, EILC course • Beginning of October – arrival of students (not accepted to EILC) • 1 November – deadline for second EILC • 15 November – deadline for the second semester • January – second EILC • Beginning of February – arrival of second semester students, departure of first semester students (transcripts of records –faculty)
