ARTICLE 17: LEAVES NB: ASEs are expected to contact the supervisor to request leave as soon as the need for leave becomes known but not less than one working day in advance of the commencement of the leave (unless the leave is unanticipated personal or family illness or bereavement). Requests for leave to be made in writing with information about the leave, probable duration, and any documentation included. Definition of 'family member' : "...one's mother, father, sister, brother, parent-in-law, spouse, domestic partner, parent of domestic partner, grandparent, grandchild, child, step or foster child (incl. children of domestic partner)". Tracking Leaves • Create internal mechanism • Use “UCSD Departmental Approval of Absence or Overtime form” • ASEs are expected to contact his/her supervisor to request leave as soon as the need for leave is known but not less than one (1) working day in advance unless the leave is unanticipated personal or family illness or bereavement. (Long term family leave – request 30 days in advance) • Requests shall be made in writing with information about the nature of the leave and probable duration. Upon request, the ASE’s request will include appropriate documentation. • Contract states “While it is the University’s responsibility to make arrangements for coverage, the ASE will assist as reasonably possible.”

ARTICLE 10: Employment Files Employment File shall be defined as information (including reports, documents, correspondence and other materials in their entirety or redacted portions) pertaining to an ASE’s employment in the bargaining unit. ASEs will be notified that employment files are established and maintained for ASEs and new material may be added periodically during the term of employment. The University shall notify the ASE in writing (via letter or email) of the new material as soon as practicable, but no later than thirty (30) days following the end of the term. PRACTICE: When issuing an appointment notification letter, supplemental documentation, list of duties from Appendix C, or performance evaluations please add cc: Employment File to each communication and place the document in the employment file.

Appendix C: Description of Duties • Article 2: Appointment Notification Section B: Supplemental Documentation At least 30 days prior to the beginning of the term, the University will provide to Teaching Assistants and Associate Ins a description of required duties. See handout of Article 2 and Appendix C. In cases where the position becomes available less than thirty (30) days before the start of the academic term, supplemental documentation will be provided as soon as possible.

Notification of ChangesArticle 31: Workload (Section D: Notification of Workload Maximum) • When an ASE perceives she/he may exceed the daily, weekly, or quarterly maximum number of hours in his/her appointment, she/he SHALL communicate this to her/his faculty supervisor. If an ASE is going to exceed the daily, weekly or term maximum number of hours of her/his appointment, the University shall either: 1. Increase the ASE’s appointment percentage to be consistent with the number of hours she or he will work and/or 2. Modify the ASE’s work assignment such that the number of hours worked will be consistent with her or his appointment percentage and workload limits. Any changes pursuant in the duties or appointment percentage SHALL be communicated to the ASE in writing.

Undergraduate Teaching Assistants • Article 11: Fee Remission for undergraduate teaching assistants with an appointment of 25% is only available on campuses where UG TAs are hired into the 2310 or 2311 title code. At UCSD we use the 2860 title code therefore UG TAs are not eligible for fee remissions.
