  1. Recruitment Information Meeting, Georgetown Public Library, April 21, 2014 ROBIN GILLELAND, GAPA PRESIDENT robingilleland@gmail.com www.gtownpanhellenic.org

  2. WHO WE ARE Georgetown Area PanHellenic Association is an alumnae group of local Key Women from National PanHellenic Conference sororities who have graciously agreed to write recommendations for Georgetown Area girls. Many of these Key Women have been writing recommendations for over 15 years. They know the process and are very familiar with the sororities on the collegiate campus and the sororities know our key women. A list of Key Women can be found on the GAPA website. www.gtownpanhellenic.org

  3. KeyTerminology • PNM: Potential New Member • If you decide you want to participate in Recruitment at your chosen university, you are a PNM! • You MUST register with your particular university in order to participate in Recruitment. • Registering with the Georgetown Area PanHellenic Association (GAPA) DOES NOT also enroll you in your university’s Recruitment Program. • Signing up with your university’s Recruitment Program is available on your university’s website, under “Greek Life” or “Student Organizations,” “PanHellenic,” etc. Some schools may have already opened their registration application. Yay! • There may be a fee involved. Alumnae, Alumna Alumnae (plural)/Alumna (singular) is a sorority member who has graduated. Alumnae can write recommendations and letters of reference/support for PNMs. Key Women GAPA has an alumnae group of local Key Women from National PanHellenic Conference sororities who have graciously agreed to write recommendations for Georgetown Area PNMs. A list of Key Women can be found on the GAPA website. www.gtownpanhellenic.org

  4. Key Terminology • Letter of Recommendation/Reference: • Some sororities require that you have a Letter of Recommendation or Recruitment Information Form submitted directly from an alumna member of their sorority. • GAPA can assist you with getting a Letter of Recommendation/RIF from area alumnae that will be sent to sororities at your university. We are a one-stop shop! • Our website lists the Key Women in GAPA who have graciously agreed to write recommendations for you. • In order to have GAPA Key Women assist you with a recommendation, you MUST register on the GAPA website, under the “Go Greek” tab, by filling out the GAPA RECRUITMENT FORM. You will need to attach pictures and documents so have them ready before you begin. • You may also have personal connections to sorority alumnae who can write a recommendation for you. Letters of Support • Letters of Support are in addition to any recommendation/reference letters that are sent directly to the university sorority by alumnae or current sorority members. This does not take the place of a letter of recommendation. www.gtownpanhellenic.org

  5. Key Terminology Legacy: A relationship to another family member who is Greek. • Each sorority has its own definition of what degree of relation constitutes a “legacy,” e.g., mother, sister, etc. • All PNMs who believe they have legacy status should research the legacy policy for your relation's sorority and your particular campus. • Legacies are given special consideration, but are in no way guaranteed a bid from their legacy sorority. Silence: The period of time designated by each college PanHellenic organization when there is no communication between PNMs and current sorority members or Alumnae. Each college PanHellenic sets their own rules for silence, so be sure you know the rules at your school! Rho Chi/Rho Gamma: Sorority actives who disaffiliate with their sororities in order to act as Recruitment Guides/Counselors for PNMs during Recruitment. www.gtownpanhellenic.org

  6. How to fill out the GAPA Recruitment Application Form The GAPA Recruitment Application Form can be found on the GAPA website under “Go Greek”. Detailed instructions are included in the GAPA Information Guide (also under “Go Greek”). It is a great idea to follow up and make sure your application was received by GAPA. Email: holly.stevens@suddenlink.net to verify your form was received. Pictures, resume, and transcript scan must be less than 2MB each. Various sororities have various photo requirements. The list in the GAPA Recruitment Guide may NOT be current. Additionally, some sororities require hard copies of your photos, so be prepared to present Key Women with hard copies, in stamped, size-appropriate envelopes, should they contact you with that request. www.gtownpanhellenic.org

  7. How to fill out the GAPA Recruitment Application Form (cont.) • You may scan and attach a non-official high school transcript. • A sample Social Resume is included in the Recruitment Guide. • You should prepare your Social Resume before you fill out the Recruitment Application, as you may then easily cut and paste the info from that onto your application. • The information included in your application should be complete and well explained. These are what the Key Women will use to write your recommendation and will be included with your packet of information. • Spell Check! www.gtownpanhellenic.org

  8. BECOME VERY FAMILIAR WITH YOUR SCHOOL’S RECRUITMENT REQUIREMENTS, DEADLINES AND DATES. YOU WILL BE VERY SAD IF YOU PREPARE FOR RECRUITMENT THIS SUMMER, BUT WON’T BE ALLOWED TO PARTICIPATE BECAUSE YOU DID NOT SIGN UP WITH YOUR UNIVERSITY’S PAHNELLENIC RECRUITMENT PROGRAM. JUST SAYIN’ www.gtownpanhellenic.org

  9. Question and Answer Time! Keep in mind that this is just a general guide. Sororities and Universities have different policies, so be sure to use the web to find out specific information. www.gtownpanhellenic.org

  10. For additional questions, refer to the Georgetown Area PanHellenic Association (GAPA) website:www.gtownpanhellenic.org Deadlines for GAPA Recruitment Applications: July 1, 2014 www.gtownpanhellenic.org Registering with GAPA DOES NOT register you with your university’s PanHellenic organization, which you must do to participate in Recruitment! www.gtownpanhellenic.org
