PRIOR BID MEETING Meeting with your managers to determine what is selling, as well as meeting with your vendors so they can assure you they can give you what you need is the first step to a successful and money managed procurement. • Visit your schools, talk with your managers. • See what your students are buying and what is going in the trash. • Make adjustments. • Get a list together and call a meeting with the potential vendors individually.

  4. PRIOR BID MEETING • Discuss the options you are looking for and always ask for a alternative when you request a brand on your bid • a lot of times the vendor brand is better and cheaper than the name brand items.

  5. Check and Re check prices It is important to always stay on top of the prices you are being charged through the year on bid item product. • Always check prices on your invoices. • Most vendors will try and sub a product if they are out of what was ordered. • Make sure that you are charged for the bid amount. • Vendors cannot charge you a higher rate for product they send outside of what they bid unless you authorize it. Always fight those charges.
