  1. Part Management How to locate the correct part number

  2. Introduction In this tutorial you will learn how to order the correct part number Knowing how to locate PN’s and understand their status in the system will save you time and prevent ordering the wrong part. Click Next

  3. What were the problems so far? Click on the icons to view current problems related to Spare Parts Lack of real time information about PN changes Lack of a single and accurate part-related information source Missing knowledge about new parts terminology like: criticality, part roll, Service BOM, R-Bill, RoHs etc. Click Next

  4. What was changed? As part of our integration into the global HP IT and part management systems, several changes now affect the department’s workflow: Click Next

  5. The solution! We have created an easy and friendly solution that will assist you in locating the part you need and understanding the part’s status. You will use this information whenever you need the updated part numbers for any purpose. But first... Let’s learn the terminology of the “Part Number World”. Click Next

  6. Glossary What is Part Roll? Part roll is the mechanism through which we can follow PN modifications in the HP systems. Part Roll is implemented due to ECO or FCO Click Next

  7. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level Let’s learn about the Part Roll terminology: Are you familiar with the following terms? Click ontheHard Part Roll tab

  8. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level Hard Part Roll : The Old part number cannot be ordered any longer, should not be used in the printer and will not be available in the HP systems Click on the Soft Part Roll tab

  9. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level Soft Part Roll: The Old part number should be ordered and used until end of stock, after which only the new PN will be available in the HP systems Click on the RoHS tab

  10. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level RoHS: RoHS is the European Parliament and Council Directive on the Restriction of the use of certain Hazardous Substances in electrical and electronic equipment Parts flagged as RoHS have been certified by supplier, according to HP regulations Click Next to learn more about RoHS

  11. RoHS Non RoHS PN CC903-50159 RoHS PN CW903-50159 Note, Once the Non Rohs PN’s are consumed RoHS PN’s will support non RoHS Machines as well Non RoHS PN’s can be installed in non RoHS machines only Click here to continue RoHS PN’s are installed in RoHS approved machines Click here to continue Non RoHS Machine RoHS Machine Click hereto learn about RoHS PN Click Next to learn about Service BOM

  12. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level Service BOM The Service BOM is defined per machine and includes all the orderable spare parts (R-Bill PNs) for this machine. Every R-Bill PN includes: Main item + package + attached accessories required for installation Note: Original RSPL PNs will be modified to R-Bill PNs (PN CC906-50059 will become CW906-50059) Click Next to learn more about the new service BOM part number

  13. The New Service BOM PN Old PN Method DSPJ RSPL list Until now PNs were marked in the system in various formats, for example with the prefix CC. So far you could use directly the PN of an RSPL item to order it through the system Click Nextto learn about the new system CC906-12345 RSPL 000-14-00-028 RSPL 1234-5678 RSPL

Note: you can always search for the new R-Bill PN according to the old PN without the prefix Click Next to learn about Criticality Level Click here to continue Package CC906-87965 T/N CC906-12345 Tools CC906-87965

  15. Glossary Hard Part roll Soft Part roll RoHS Service BOM Criticality level Criticality Level: For each Part Number, a new parameter was added defining how it would affect the work of the machine if malfunctioning: 1. Will never cause a machine down and will rarely fail 2. Will not cause a machine down but fails all the time 3. Can cause a machine down but  will rarely break 4. Fails often and causes a machine down Any part defined as  2, 3, & 4 will be part of the RSPL list (Recommended Spare Parts List) or in the Future Service BOM Click Next

  16. The Tools We are happy to present you the Tools you can use in order to make sure you have the most updated information at all times Click on the Tools icon to continue Spare parts catalog (E-Catalog) – detects the PN, its location in in the printer, and any attached picture, document or Diagram RSPL S-BOM Excel worksheet – enables you to access near real time status of the spare parts list Parts manager SharePoint site – contains updated information about spare parts including: communications, training materials, Part Roll Tracking info as well as the ability to share and update information Click Next

  17. Part detecting and ordering workflow View the following recommended workflow for ordering parts: Click Next

  18. Locate a PN updated Part Roll Information • Assuming that you have detected the PN you are looking for in E-Catalog or Agile, • In the next section you will learn: • How to access the latest RSPL and Part Roll data for Service Engineers in the SharePoint site • How to locate under which orderable R-Bill the PN you want to order is included • How to view the updated PN’s status • How to locate a new PN by entering the old PN number Let’s simulate entering the SharePoint. Click on the following link: https://sp-external1.austin.hp.com/external/ServiceCenter/default.aspx

  19. SharePoint You have entered the Part Manager page in SharePoint Now you will view an updated file containing the parts numbers and statuses:Click here to continue Click RSPL Monthly link

  20. The RSPL Monthly page is displayed. Note that in the file’s name you can also see the last updated date of the file Click the file to open it

  21. The excel file opens Click here to learn more about this file In order to locate a part number in this excel form, click Ctrl+ F (find) In this demonstration, click here In every line you can find information such as: part number , part description lifecycle phase and more. Click here to continue If the PN was replaced, the Old PN is displayed in the Part Rolled From column. In the Soft Hard Roll column, part roll type – Hard or Soft is displayed Click here to continue The excel worksheet tabs display the relevant part numbers (PN’s) per machine In the RSPL AllMachines(Default)tab you can find the PN’s of all the machines Click here to continue

  22. The Find and Replace window is displayed Enter the part number – without the prefix (Click in the box) 22-7226 Click Find Next button

  23. Close the Find and Replace window The part number is located in the Part Rolled From field. This column indicates that this is an old part number Click here to continue Check if you can still order the part. The Soft Roll indicates that the old part is in use until “end of stock” Click here to continue The updated part number is located in the same line, in the Number column Click here to continue

  24. In the Stock Criticality column you can find the part criticality. The Stock Criticality values vary from 1-4 1 - being the least critical and 4 – the most critical part causing the machine to be down Click here to continue
