    2. 9/6/2012 Project ICE! 2 Reminder: E-mail Management Workshops Records Management Office Workshops: July 10th, 24th & August 3rd Like all other records we encounter in our work, e-mail must be managed, retained, and disposed of. However, its sheer volume sets it apart from other records. These workshops discuss methods for gaining control of e-mail and managing it according to Harvard records policies. Topics include:    A brief overview of records management at Harvard    Methods of controlling e-mail    Application of the General Records Schedule to e-mail    Examples of types of e-mails with their appropriate retentions http://hul.harvard.edu/rmo/resources_01.shtml or www.projectice.harvard.edu for more information

    3. Your New Email/Calendar Login: The Desktop Login Presented by: S. DeLellis for Jane Hill

    4. 9/6/2012 Project ICE! 4 Your New Desktop Login The new Desktop login for workstations in the UNIVERSITY Domain will be your login for: MAC & Windows Desktops ICE! Email & Calendar System (Exchange) Other Future applications What used to be three separate logins, are now one! Current Method: Login to Desktop, login to Email client, login to Meeting Maker Client Future Method: Login to Desktop (UNIVERSITY Domain) for access to email, calendaring & more The new login format is as follows: Two initials preceding six randomly generated numeric digits - sd348712

    5. 9/6/2012 Project ICE! 5 Your New Desktop Login Why not use HUID as the Login ID? AD requires a user id that is “public and browsable” HUID is not an ID that we can disclose publicly for a student (FERPA) Many employees were not comfortable with using HUID for this purpose The approved AD Login format allows for plenty of future growth in the number of login IDs for Harvard The password policy for the new Login is being discussed and will follow University Security Officer policy recommendations – more on that later

    7. 9/6/2012 Project ICE! 7 Support Plans Help Desk and Desktop Techs have already attended Outlook training Techs and help desk personnel are using the Outlook client now DLS will participate in CWD’s training pilot before it is rolled out to user community

    8. 9/6/2012 Project ICE! 8 Support Plans User training at CWD will be coordinated with migration schedule Training classes will be available to all who wish to attend – these classes are highly recommended for ALL users Other options: On-line, self-paced training Train the Trainer Live web training

    9. 9/6/2012 Project ICE! 9 Mail Migration For Support Services Customers DLS will have to visit every desktop Migrations will occur off hours, pre-arranged with customer On-site support the next day Outlook documentation and a migration confirmation left on each desk Users of shared mailboxes will all need to be done at the same time

    12. 9/6/2012 Project ICE! 12 Conclusion More testing to be done over the next 6 months Our goal is to make the migration as seamless as possible Major change, some interruption to the user will be unavoidable Users can help by attending training and deleting un-needed email and attachments
