  1. Teacher-Student Data Linkage (TSDL) Roster Verification 2012-13

Purpose of TSDL verification These data are necessary to meet federal and State requirements, including State Longitudinal Data System (SLDS) requirements outlined in Section 6401(e)(2)(D) of the America COMPETES Act (20 U.S.C. 9871) and the American Recovery and Reinvestment Act of 2009 (ARRA); teacher/leader evaluation requirements outlined in Education Law §3012-c; other information necessary to support the policy development and reform agenda of the Board of Regents; as well as the Education Data Portal (EDP) instructional reporting system required by New York’s Race to the Top award.

  3. My name is wrong, what do I do? Requests for a legal name change must be submitted through the TEACH online system. There is no fee for requesting a name change. To make this request, log into your TEACH account at http://www.highered.nysed.gov/tcert/teach/ and follow the steps below: • Click “Verify/Update Profile” • Click “Edit Personal Info” • Click the “Request Name Change” button • You must mail a copy of the documentation that supports your request and an explanation of the request to: Office of Teaching Initiatives, 89 Washington Ave, Education Building, Room 5N, Albany, NY 12234.

  4. https://eservices.nysed.gov/taa/login.htm If you received a “PIN” last year, you will log into the system with the same username and password. You can skip steps 1 through 3 in this document. If you forgot your password and/or username, click on the appropriate links. Your username should be your email address. If you did not receive a PIN last year, you will need to create an account. Click “I need to create an account” (blue box under login area). You will need to complete steps 1 through 3 on the following pages before you can login.

  5. STEP 1: Verify your Personal Information Enter the last 4 digits of your SSN, date of birth, and PIN. Make sure to enter the PIN EXACTLY as it appears on your Teacher Student Roster Verification invitation sheet, including the dashes (ABC-DEF-GHIJ). Then enter the image verification (i.e. “man”). Click “Verify My Information.” If unreadable, you can refresh to get new images

  6. STEP 2: Set up your Account Enter your school email address and create a password. Please note that your password needs to have at least one uppercase letter and one symbol. Enter two security questions and answers, and the check the box “I have read and agree to the terms of service. Hit “Submit Registration.” Make sure to write down your password, security questions, and security answers in a safe place.

  7. STEP 3: Verify Your Email Go into your school email and open the email that you should have just received from NYSED. There is a link in the email that says, "Click Here to Confirm Your Account". CLICKING ON THIS LINK IN THE EMAILshould complete the registration process. You are now ready to begin the verification process. Make sure to check the following: • All students in your class appear on the roster. • Student gender, ethnicity and grade level are correct. A grade level of 13 represents Ungraded Elementary (K-6) and a grade level of 14 represents Ungraded Secondary (7-12). • Relationship Start and Relationship End Dates for students who transferred in or out of your classes seem correct. Note that students may be marked absent for a few days before the new district enrolls them, making the Relationship End Date slightly different from the last date they actually attended your class. • There is a roster for each section that you teach. If a course or section that you teach is not included, please indicate it as described in Step 7. • If your course ends in a State Assessment, make sure the State Course Code matches the appropriate code for your course (see table on last page of packet).

  8. Steps 4 & 5: Login/Verify Courses & Classes Check and make sure that each of your classes is included in the drop down menu on the top left of the screen. If you teach semester courses, both fall and spring courses should be included. Please note that anything that you teach that is NOT in your Student Management system (i.e. you are not a teacher of record for attendance) will not be included. Note: The titles to courses may be different than expected. The titles are actually referring to the State Course Code Mappings, similar to what you see on your BEDS forms in the fall.

  9. Step 6: Verify Data for Each Class Click on one class at a time and verify the student list. The Snapshot Date column will either display 6/30/13 if you are on the Full Year Snapshot view, or the date of your State Assessment if you are on that view. Verify the linkage start date and end date for each student. If the student is withdrawn from your class, the last day of attendance will appear. If the student was enrolled in a fall semester course, the last day of the semester should appear. If the student is still enrolled, the last day of the school year should appear.

  11. STEP 7: Final Step  Legibly print any needed corrections directly on the rosters. Make a note on one of the rosters if you are missing a course/section. In some instances, courses or classes won’t appear because they have not started yet. Further verification will be needed after we update the data. Sign and dateeach roster verification sheet to indicate that you were successfully able to access your account and verify your data.

  13. What happens now? If you had no errors, you are all set. You can continue to login to the TAA system anytime to see updates when students leave or move into your classes. If at anytime you find errors, please contact your district data coordinator and/or building principal. If you had errors, note that the Student Management system may need updating. Please be patient while we do this. There will be a delay as the data are fixed in the system, uploaded to CNYRIC (level 1), and then uploaded to NYSED (level 2). It may take a couple of weeks before you see the rosters refreshed correctly in the TAA system. We appreciate the hard work and time you have put into verifying your class rosters.
