  6. CAPITOL HILL Rates include the following benefits: • LDW/CDW • Liability insurance • Unlimited mileage • Pick-Up/Drop-Off fees waived • One-way rental fee waived (In State only) • Fuel Cards

  7. IN-STATE (1 of 2 Suppliers) Rates include the following benefits: • LDW/CDW • Liability insurance • Unlimited mileage • Pick-Up/Drop-Off fees waived • One-way rental fee waived (In State only)

  8. AIRPORT / OUT-OF-STATE Rates include the following benefits: • LDW/CDW • Liability insurance • Unlimited mileage • Pick-Up/Drop-Off fees waived • $0.25/mile for one-way rentals (Airport only)

EMPLOYEE PERSONAL TRAVEL Hertz will offer a discount to employees for personal/leisure travel • Qualifications: • Renters 21-24 years old, a daily surcharge will apply • LDW/CDW, Liability Insurance, Vehicle Licensing Fees not included for personal travel • State of Georgia Personal Travel CDP:18108 • Book online www.hertz.com, by phone 1-800-654-3131 or at the counter • State issued ID required at pick-up

  10. RENTAL INSURANCE COVERAGE • No change from previous program • Loss Damage Waiver (Collision Damage Waiver) is included in standard rate • Included on the following vehicle types (Compact, Intermediate, Full Size, 12 Passenger Van, Minivan and Midsize SUV)

  11. ONE WAY RENTALS • One-Way Charges will not apply to rentals picked up and dropped off at a Hertz Local Edition (HLE) within the state of Georgia • A mileage fee of $0.25/mile will apply to Airport Out-of-State rentals

  12. PICK-UP/DROP-OFF SERVICE We’ll Come and Get You® • Hertz will provide State Employee pick-up and drop-off service at all off-airport locations, at no additional charge • This service is offered during the operating hours of the rental location

AGENCY CDP NUMBERS What is a Corporate Discount Program number (CDP) • The CDP tells Hertz what rates and benefits are eligible to your agency • A unique CDP will be assigned by Hertz for each agency entitled to or required to make purchases from the state contract • Your CDP will be available through your department contact • Requests for new CDPs can be sent toHertz Account Management

AGENCY DIRECT BILLING How will your rental be billed? • Renters can complete bookings without being required to present a physical form of payment at the counter, state ID or badge will be required • Direct billing and invoicing has been set up for each agency or authorized user entity • A monthly statement will be delivered to the agency/authorized user entity with detail of each rental occurring during the reporting period

  17. BOOKING TOOLS There are multiple methods to book a reservation for state employees. • Online at Hertz.com • Customized State of Georgia portal (available Oct. 3) • By telephone 1-888-654-3131 or local branch • Walk-Ins • Teamworks Travel & Expense/Concur

  18. BOOKING A RENTAL • Via online tools - select your agency from drop down menus. Your account information will automatically populate • Via phone or in person - you may be asked to provide your agency CDP number. To obtain your agency CDP number contact your agency fiscal officer • A valid Driver’s License and state employee ID are always required when you pick up your rental

BOOKING A RENTAL Vehicle Cost Calculator(If its appropriate for you agency) • Renters should begin their reservation process by completing the steps in the VCC • If Rental Car is recommended as the most economical mode of transportation, proceed to booking at Hertz.com or TTE or customied State portal

  20. BOOKING A RENTAL • For Delivery: State employees > 15 mile from a Hertz branch. • Contact nearest Hertz facility to coordinate delivery. • Information needed for Delivery: • Customer Name, address, and phone # • Drivers’ license info • State Agency Info • Drop off and pick up date and times

  21. BOOKING A RENTAL • Vehicle must be delivered to a State Facility and keys must be given to a State employee. • Notify local branch when vehicle is ready for pickup

REFUELING YOUR RENTAL • Each vehicle will be supplied with a full tank of gas when it is picked up from Airport and In-State car rental • Renters must attempt to replace any fuel used during the rental period before returning the vehicle • Your agency will be notified of fuel usage other than for official state business

  24. GAS CARDS (Capitol Hill only) • For rentals initiating at the Capitol Hill Car Rental facility, renters will be issued a fuel purchase card at the time of rental. Fuel card is for fuel only. • Specific PIN code is assigned to each card. • Transactions limited to 2/day, $100/transaction. • Total of $ 200/day • Gas card and receipt for fuel purchased will need to be returned with keys at time of return. • Fuel will be charged according to the following formula: Avg. MPG by car class ÷ Cost per Gallon of Fuel = Cost per Mile; Gas per Mile X # of Miles Driven = $$ Fuel Charged. • Fuel is for Official State of Georgia business only.
