  1. Policy 10 Update

  2. Policy Requirements • Guidelines: • All light duty trucks (9,000 lbs. GVW or less) • All passenger vehicles that meet either of these two criteria: • 10+ years old • 135,000 miles or greater The DOAS policy requires all vehicles that fall into a high risk criteria to be enrolled in an ARI (Automotive Resources International) program in order to track and maintain vehicle operational and maintenance records

ARI Programs • Total Maintenance System (TMS): • Vehicles participating in this program will have repairs and maintenance completed at ARI garages in the local area Garage Maintenance System (GMS): • Vehicles participating in this program will have repairs and maintenance completed at the UGA Automotive Center

  4. ARI Billing • TMS – cost of $4.82 per month • A monthly invoice will be emailed to the department from ARI, which will include the $4.82 monthly charge and any repairs performed during the month GMS – cost of $0.82 per month • The UGA Automotive Center will bill through a standing work order

  5. TMS Billing Information • Once the department receives the electronic monthly invoice (inclusive of the membership fee and service/repair costs), the department should submit a check request for the payment of the invoice. ARI is setup in the vendor database under VN0004351.

  6. Information Required for TMS Vehicles If your department is required or chooses to enroll vehicles in the TMS system, the following information needs to be submitted by February 19, 2014: • The physical address of the department receiving the ARI documentation for each vehicle • The point of contact for each vehicle. This person will be the point of contact to give authorization for repairs totaling over $500 for each vehicle • The point of contact, including email address, for the person responsible for the payment of the invoices for each vehicle

  7. Anticipated Launch Dates • All GMS vehicles will be live with ARI on March 1, 2014 • All TMS vehicles will be live with ARI on April 1, 2014

  8. Items Requiring Action • Spreadsheet to be completed for TMS Policy 10 vehicles • I will send out the spreadsheet to the fleet contacts immediately following this meeting • Please submit the required information by February 19, 2014: • Physical address for mailed information • Name and contact information for authorization of repairs • Name and email address for billing information
