  2. Public Relations is about marketing but in the sense that we go out and engage with those who drive public opinion – mainly the media, politicians and education.

  3. The Media • The media falls into three different categories • The press – producer’s the of printed word • Radio – producer’s of audio content • Television – producer’s of moving pictures and sound.

  4. Remember the Ws • Whenever composing material remember the Ws • Who • What • Where • When

  5. Get the message in the first few phrases • Make sure you get the big picture in early. • eg – A party of disabled children were treated toa special Easter day out at Chessington by the Rotary club of X town on Saturday. Rotary President Ken said the club had organised and paid for the whole trip as part of its Youth Activities programme….. Then fill in the detail. • Where ever possible include action shots from the event – not line ups or grab and grins – use the best available camera to get the shots and expect them to be edited.

  6. The Press • Clubs need to identify all their local producers of printed articles and form a working relationship with them. • Consider inviting editors to club meetings • Get to know your local monthly free magazine • Have an associate member scheme? consider making some press members part of it.

  7. Radio • Aim at local and community stations. • Some clubs (inc Caterham) now have their own Rotary spot on Community Radio • You could also consider working with Hospital Radio – they can provide help at events as well. • Find your local station and engage it.

  8. Television • The hardest medium to get into. • If you have a really big multi club event they “might” be interested.

  9. Material for the Press – a reminder • A picture says a thousand words. But no grab and grins. High quality photographs only – no camera phone grabs • Lead articles with the results, who was for and what was achieved, don’t write a committee report, keep it short and punchy and make it interesting.

  10. Radio Interviews • Talk positively about Rotary, its about the good we do and the fun we have doing it. Don’t sprinkle Rotary titles and acronyms around. • Use the best person in the club at presenting, this does not have to be the President. • Be clear what the interview is about.

  11. TV Interviews • Make sure you know what the interview is about. • Be positive. • Dress to suit the occasion – it needs to present the new more relaxed Rotary image. • Look like you are having fun if the occasion suits it.

  12. If Disaster Strikes In the event of a disaster/issue in your club that the press has or may get hold of don’t try to deal with it on your own, involve the District Governor or District Secretary immediately. There is a plan for these occaisions and it needs to be followed.
