  3. EXHIBITION AREAS

  4. CONCEPT APPROVAL • A visual or layout of the display needs to be e-mailed. Visuals must include photos of the advertising material used, a list/photos of products that will be displayed at the exhibition stand. • BOOKING FORM AND CONTRACT • You will receive an email notification once concept is approved. A booking form and contract will be sent to the company. Contract must be completed and signed (initial on every page). Fax contract and copy of public liability to 021 808-3443 or email nadams@sun.ac.za. • INVOICING AND PAYMENT • Once signed and completed contract is received, the pro-forma invoice will be sent to the company. • Fax a copy of your proof of payment to 021 808-3443 or email nadams@sun.ac.za.

  5. REQUIREMENTS TO EXHIBIT Public Liability • Public liability is a requirement for all exhibitors.

  6. GENERAL RULES AND REGULATIONS All documentation needs to be completed and submitted at least one week prior to the start of an exhibition. Payments must be paid in full and reflect in our bank account before the exhibition date starts. Set-up and break-down of exhibition displays must be done after or before trading hours. The trading hours are: Monday to Friday from 09:00 – 16:30 If electrical cords are used for power, the cords need to be taped neatly to the floor with black gaffer or book binding tape. No handwritten signs are allowed. Only well designed and printed posters may be displayed in proper display frames. 1,8m height restriction and 3m width restriction. All sound should be approved by Centre Management and sound levels to be determined with Centre Management during a sound check before the event. Centre Management will take no responsibility for lost of stolen goods during the time of exhibition. No eating or drinking are allowed at the exhibition stand. Parking fees will be payable by the exhibitor and Centre Management will not refund or compensate for any parking fees incurred.

  7. EXHIBITION RATES 2014 • Rates change with annual increases and will be provided on request

VENUE RATES 2014 • Temporary liquor license to be supplied to venue owner in advance should a cash bar be operated by non university user. • Smoking is not permitted in the venue nor on the balconies. A designated smoking area is available on the ground floor under the staircase outside the center. • Centre Management does not accept liability for lost property/goods afterwards. • The deposit is refundable should there be no damage to property and/or equipment or should the venue not be cleaned to the original state. • The booking cancellation fee is 50% of the deposit.

Centre Management determines the final cost of the event.
