  4. The Mass Activation Process The accurate and timely activation of students in txGradebook is critical for ECISD to determine the number of students enrolled on the first day of school! Secondary Teacher Instructions

  5. The Mass Activation Process Mass Activation is a one-day process that • Displays all students as inactive on the 1st day of school. • Requires teachers to activate students on the 1st day of school using the Post/View Attendance screen in txGradebook. • Automatically updates any entry dates for the campus, courses and special programs. Any students that are still inactive at the end of the first day are considered No Shows and no longer appear in teachers’ class lists. Secondary Teacher Instructions

  6. The Mass Activation Process Mass Activation could occur every period of the day at a secondary campus. However, the majority of the students will be activated by the 1st or 2nd period teachers. While Mass Activation is open, the Post/View Attendance pagelooks a little different than it does on any other day of the year. Secondary Teacher Instructions

  11. 1st DAY PROCESS FOR SECONDARY TEACHERS All students must bring a copy of his/her schedule to be admitted to class. • Identify those students who are present in your classroom and activate them on the Post/View Attendance screen by posting the screen. • If a student is listed in txGradebook as inactive and is not present in the classroom, no additional action is needed. The student’s 1st day status is correct. Secondary Teacher Instructions

  12. 1st DAY PROCESS FOR SECONDARY TEACHERS • If a student is physically present in the classroom and does not appear in txGradebook, check the student’s schedule. If a date has been written in the upper right hand corner of the schedule, the student should be admitted to class but will not appear in the txGradebook until the date written on the schedule. If a date has not been indicated, report the problem to the office. Teachers should post students absent, tardy or present when the option is available. Secondary Teacher Instructions

  13. 1st DAY PROCESS FOR SECONDARY TEACHERS • Ensure that students do not answer “roll call” for a student who is not physically present. This will result in inaccurate enrollment counts. 2. Continue step 1 for all periods of the day. You must post for each period of the day. The office staff will run a report at the end of each period to identify teachers who have not posted. You have now completed the Mass Activation process! Secondary Teacher Instructions

  14. AFTER THE 1ST DAY OF SCHOOL • Any student who was not activated on the 1st day of school will be withdrawn as a No Show. No Show students will not appear in txGradebook unless the office staff changes their status from a No Show to an active student. • Begin the standard attendance posting procedures by posting students as Absent, Tardy or Present. Notify office staff if a student comes to your classroom but does not appear in the txGradebook. Secondary Teacher Instructions

  15. FREQUENTLY ASKED QUESTIONS 1. What do I do if I have already posted and I realize that I activated the wrong student? • Contact the office clerk immediately. 2. What do I do if I have already posted and I realize that I did not activate a student who was present in my classroom? • Contact the office clerk immediately. 3. What do I do if the message “ERROR – NOT ACTIVATED” appears on the screen next to a student? • Contact the office staff immediately. Secondary Teacher Instructions

  16. FREQUENTLY ASKED QUESTIONS 4. What does (TR0) in the Attendance column mean? • This indicator displays to show which track the student is on. Track is a grouping category by which school districts report students to TEA. With the exception of a few students at Gale Pond Alamo, all ECISD students are grouped on track 0 (TR0). 1 8/27/2012 8/27/2012 (TRO) 8/27/2012 1 Secondary Teacher Instructions

  17. FREQUENTLY ASKED QUESTIONS 5. Do ALL teachers have to activate students on the first day of school? • Only those teachers who have course/sections and students assigned to them (ie, the teacher is the teacher of record) activate students on the first day of school. For instance, teachers who see students on a pull-out basis, such as a content mastery teacher, do not activate students because no students are assigned to them via a course/section. • 6. Where do I find instructions for using the txGradebook? • Click on the Staff Development link on the ECISD home page, then click on Moodle. Login to Moodle using your ECISD network user ID & password. The txGradebook training can be found under the District Training category. Secondary Teacher Instructions
