Overview • Objective • Provide GaBreeze ERWS users access to historical information regarding deductions, coverage information, and transaction history through the GaBreezeeCustomer Service (eCS) website Access • All FLEX Agency ERWS users (Automated & Manual) • Note: PSR only agencies will not have access to the eCS portal • Note: No PSR “tabs” will be viewable once the portal is accessed for a specific account • Agency users will have access to their employees only What’s Changing? • Security updates for agency users on the ERWS to protect the sensitive nature of participant’s personal information

Allow PPT lookup for inquiry using Person’s Name • The screen will allow searches by either Last Name/First Name OR SSN • Note: Will not support both • The results section will show the employee with the matching criteria • The results section will have a max limit of 50; an edit will be provided to narrow down the search if more than 50 employees are returned • The user will select an employee from the results section and click continue to inquiry the selected employee

Eliminate Duplicate Email Notification of Reports Available for Downloading • Email notification will be modified so only one email notification is sent for each instance of a report • If a manual upload is performed by GaBreeze, the email notification will only contain the reports most recently uploaded • The email will not contain all the reports uploaded to ERWS on a specific day • NOTE: Currently the email contains all the reports uploaded to ERWS on a specific day

View Flex Plan Coverage History –User Experience This link will allow access to the Customer Service YBR Site to view. • The link will only be displayed for ppts that have the rights • On click, the Customer Service YBR site will be opened in a separate IE window • The YBR site will only contain data for the active employee that is being inquired • In order to look up an additional employee, the user will need to log out of the prior inquiry screen and select a new employee to look up via the look up employee functionality

  9. eCS access Helpful Hints • The eCS portal is a “Read Only” web site; no changes to participant’s data or coverages are allowed • The format of the web site is the same as the GaBreeze employee portal

  10. eCS access Helpful Hints • Under the Flexible Benefit Tab, the Current Coverage page will list the participant’s coverage as of the current day • You can change the date back to 01/01/2010 to view the participant’s coverage history

  12. eCS access Helpful Hints • The Payroll Deductions page will list the amounts to be deducted from the participant’s paycheck • The deduction effective date provided to each agency via the payroll file/reports generated by GaBreeze

  16. eCS access Helpful Hints • The Direct Billing and Payments page provides employees on unpaid Leave of Absence current balance information and current amounts due • Billing dates to the participant and Payment History are also included

  17. ERWS New Security Enhancements

New Security • All GABreeze ERWS agency users will be issued an email containing a new ID and temporary password to log into the GaBreeze ERWS Portal • The agencies will receive two emails: • A separate email with the ID; • A separate email with the temporary password • On the first logon the user will be prompted to change their password • All passwords will expire every 30 days and the users will be requested to change the password on the next logon of the Portal • If the ID is forgotten, the user will be able to retrieve their ID via email • If the password is forgotten, the user will be instructed to contact the Aon Hewitt Client Technology Center to reset their password • Contact Number is 1-800-861-8700

  21. New Security – New GaBreeze ERWS Login Screen • This screen only accepts the valid IDs and passwords • It includes instructions on how to reset the passwordNote: Change Password will no longer be performed thru the Portal

New Security – New GaBreeze ERWS “I Forgot My User ID” Screen • This screen will be used to retrieve the ID • The user will need to enter the email address on file to retrieve the ID • The system will send the ID via an email to the email address provided • The system will validate the email, if the email is invalid the user will be asked to re-enter the email address

View Flex Plan Coverage History – Agency Administrative Users Experience Add Agency Contact Screen Indicates if user has access to inquiry eCS • Inquiry access will be managed via the Add/Change Access Contact Screen • New agency users’ access to View Flex Plan Coverage History will be defaulted to “No” • To grant access, change the View Flex Plan Coverage History option to “Yes” and click Submit. The user will be provided Flex Plan Coverage History Access to the participants which belong to the specific agency • This setting will only be visible to Flex eligible agencies

You are required to review the security for your agency and makes changes as needed.   30. Key Dates • 4/25/2012: Reminder email issued to agencies about new user ID’s for the Portal • 4/27/2012: Gabreeze issues new User ID and Password for the Portal (after 5pm) • 4/29/2012: ERWS Portal Blackout Dates • 4/30/2012: ERWS Portal goes live with Employee Inquiry access
