  2. M2 Overview • Objectives: • Log In • Utilize M2 data dictionary • Retrieve corporate documents and use them • Utilize M2 Slice and Dice capabilities • Save, Open, Modify and Export M2 Files • Describe process for creating ad-hoc queries in M2

  3. Using M2 • Launch M2 Icon from your Desktop • Looks like a pie chart • Use training ID and password from class • Even if you have an account • (No PHI in classroom!) • 3 Strikes rule for passwords! Raise your hand for help if you’ve had two warnings!

  4. REMINDER! Business Objects At work or in class. . . Never leave a workstation unlocked When logged into M2!

  5. M2 Data Dictionary • Spreadsheet format • One tab per data file • Describes overall content; timing • List of all data elements • Definition • Valid Values • Format • Example • Notes & Caveats • Updated monthly • Very important for correct reports!

  9. M2 Data Dictionary • Let’s open the M2 DD • Google “BEA M2” • Click the top result • Right-click “M2 Data Dictionary”, select “Save Target As…” and save to your Desktop

Using the DD Effectively • Don’t forget to update the DD each month • http://www.tricare.mil/ocfo/bea/functional_specs.cfm • Review definitions prior to using objects in a query • Be sure to compare values across files • Objects with the same name sometimes have different meanings and value sets

Using M2 • Passwords: 800-600-9332, option 7 (EIDS - M2) mhs_remedy@timpo.osd.mil (gets routed to M2 POC) • DB2 Database • Files are not generally integrated • Business Objects Software • Client-server • GUI-Interface (Structured Query Language) • Analysis Capability • SQL: • You pick the data elements you want to see • And the filters you want to use • SQL summarizes data per your instructions

Corporate Documents • Corporate Documents are M2 Reports • Written by “Super Users” • Intended to be used by a wide audience • Very helpful for new users • Prompted filters vs. All-MTFs already run • Retrieve tma.rm.enrollment.report.rep • Same basic report that we just run; but • With a prompted filter

  13. Now let’s try a corporate document! Hit File Retrieve From Corporate Documents

  14. Empty report • Hit refresh (air conditioner)

  15. User is prompted for the enrollment DMIS ID • Enter it, and click okay • M2 thinks.. And then….

  19. Using M2 • Now you’ve written your first query • Slice and Dice • Wonderful tool in M2 • Allows you to manipulate data without re-running • After your results are returned, use slice and dice to: • Rearrange • Filter • Sort • Remove data elements • Insert calculations • Link objects

  21. Same data elements as in original query • The right side of the screen is used to design the output • Can do and undo to your heart’s content

  22. To remove a data element, just drag it to the left hand side of the screen. • Remove enrollment site

  23. Click apply • Close the panel (hit the “X” in the upper right corner)

  24. Enrollment site is no longer displayed on table But is still in the ‘cube’

  25. Let’s make a crosstab Hit Slice and Dice Icon

  26. Drag FY to the top of the line and move FM to the side Click Apply

  27. Results are in crosstab format Let’s remove all but FY05+ next. Slice and dice again

  28. Put cursor on FY (see large box around it) • Hit filter button

  31. Using M2 • The ad-hoc nature of M2 makes it ideal for analysis • But it’s also easy to use to “mess up” Watch This!

  32. Messing Up with M2 • Just try taking the Fiscal Month out of the table • Back to slice and dice; • Remove FM • Click Apply

  33. But wait, Fort Hood was running ~20K per year! Now all of a sudden it’s that times ten! • These answers are wrong! • WHY?

  35. M2 automatically adds up the measures in your reports • If you remove month, adds up across months! • Each row represents a person enrolled… people are not additive over time! FYCount 2007 240,024 2007 152,520

  36. Messing Up with M2 • Simple Lesson: • Be very careful • Always apply a “That Looks About Right” test (“TLAR”) • Underlying data can be tricky! • Take the WISDOM Class • Use your DD

What Next? • Can hit save • Creates a “.rep” file; can be re-run later • Can hit “edit / copy all” to put on clipboard • Can easily paste into spreadsheet software • Can hit “Save As” to • Save as “text”, “Excel”, etc… • Can also use M2 to further analyze, rearrange, etc… • Slice and Dice Save as “.rep” Copy to Excel

  39. Blank M2 Screen • Functionality is greyed out when it can’t be used • “New File” and “Open File” buttons look just like in regular Office products

  42. Quick Review: • Open and close boxes to the left • Review file names • Consider files described in earlier lecture

Relationship Summary • Simple to Use • Think of as “Enrollment File” • Open up DD • Record Description: • Not really very descriptive • Monthly tabulation of records from Relationship Detail • By year, by month count of eligible beneficiaries with a special relationship in the MHS • See ACV Group

  44. TRICARE Prime Enrollment • How many Prime Enrollees in your: • MTF? • Parent MTF? • Region? • Multi-Service Market Area? • Etc…. • Identify needed data elements using data dictionary • Enrollment Site, FY, FM, Enrollment Count • ACV Group

  45. Open Relationship Summary • Find objects you want in your report and drag to “results panel”

  46. M2 will only retrieve the objects you ask it to retrieve

  47. Use conditions panel to limit data • From entire world, to area of interest • If I hit run now with no conditions………
