  4. For today’s purposes… A natural law is: a governing principle that cannot be repealed. Another view: it is an inherent principle that governs human behavior.

  5. Cause and Effect • Sometimes, the incentive at the end of a delayed effect from a given cause is sufficient enough to encourage appropriate action. • Other times, there is no perspective of cause and effect. The focus is on the issue or the crisis of the moment.

  6. Cause and Effect for Time Management • A successful manager of time is willing to do that which the unsuccessful manager of time is not willing to do. • Wisdom is knowledge rightly applied.

  7. Saint Augustine “For what is time? Who is able easily and briefly to explain it? . . . Surely we understand well enough when we speak of it. What then is time? If nobody asks me I know; but if I were desirous to explain it to someone – plainly I know not.”

  8. Webster’s Dictionary “Time is a continuum in which events succeed one another from past through present to future.”

  11. The basic element of time is AN EVENT The key to managing time is EVENT CONTROL

  12. A natural law of human behavior: To gain control of our time, we must gain control of the events in our lives!

  13. Understanding Control Events over which Events over which I have no control: I have total control: _______________ _______________ _______________ _______________ _______________ _______________

  14. Understanding Control No Control Total Control ___________ Effects of conditioning… ADAPT

  15. There are events we think we cannot control but we really can! • There are events we cannot control but we believe we can!

  16. Our Goal! Inner Peace Having serenity, balance, and harmony in our lives – achieved through the appropriate control of events.

  17. Serenity Prayer “God grant me the serenity to accept the things I cannot change, courage to change the things I can, and the wisdom to know the difference!” Reinhold Niebuhr

  18. Productivity Tri-quation

  19. Productivity Self-Esteem Event Control Productivity Tri-quation

  20. Summary to this point… • Time management is event control. • Our goal is to move away from the reactive wall to the proactive wall. • This type of event control and proactive thinking will create inner peace and greater productivity!

  21. Planning:The Key to Control! Planning is nothing more than pre-determining a course of events!

  22. Excuses for NOT Planning: • Planning Limits Freedom • Putting out today’s fires takes precedence – crisis management. • There isn’t time to plan.

  23. Back to the Commitment Page 1. I will review my notes within two days – preferably with someone else. 2. I will invest 10-15 minutes a day for the next 21 days - formally planning my day. 3.______________________________________________________________________ 4.__________________________________

  24. Steps in Effective Planning: • Review Long-Range Goals • Evaluate Time vs. Task • Set Specific Daily Goals • Anticipate Obstacles • Prioritize Tasks

  25. Prioritizing – Ordering Events • What are my highest priorities (in my life)? • What can I do, today, about my highest priorities? LASER THINKING

  26. Prioritized Daily Task List • Make a List • Give a Value to Each Item On List Simple System: The Vital Few A High Value The Trivial Many B Medium Value C Low Value • Number Each Item

  27. REMEMBER: Urgent does not equal Vital Urgencies act on priorities – they are not automatically priorities!

  28. One of the measures of a good minister is the ability to distinguish the important from the urgent, to refuse to be controlled by the urgent, to refuse to manage by crisis.

  29. Dr. M. Scott Peck “Until you value yourself, you will not value your time. Until you value your time, you will not do anything with it.”

  30. Daily Task List Intermediate Goals Long-Range Goals Governing Values Productivity Pyramid Today’s List LaserThinking Start Here

  31. A natural law… When your daily activities are in concert with your highest priorities, you have a credible claim to inner peace!

  32. Governing Values are… My highest priorities in life!

  33. “I found that values, for each person, were numerous. Therefore, I proposed to write my value names and to annex to each a short precept – which fully expressed the extent I gave to each meaning. I then arranged them in such a way as to facilitate acquisition of these virtues. -Benjamin Franklin

  34. Ben Franklin’s Process • Identifying My Governing Values I am innovative… I am productive… I am loving… I grow spiritually... And so on…

  35. Ben Franklin’s Process • Identifying My Governing Values • Prioritizing My Governing Values Simple System – Number Them Our daily choices are influenced by our values whether we know it or not – and we should make our choices continually impact our deepest priorities.

  36. Ben Franklin’s Process • Identifying My Governing Values • Prioritizing My Governing Values • Writing a Clarifying Statement for Each of My Governing Values This is an extension of a positive value – to “fully express the meaning of the value.”

  37. Back to the Commitment Page 1. I will review my notes within two days – preferably with someone else. 2. I will invest 10-15 minutes a day for the next 21 days - formally planning my day. 3. I will invest 5-6 hours building my productivity pyramids by . . . 4.__________________________________

  38. Long-Range Goals Governing Values Setting Long-Range Goals Focus

  39. Two natural laws of people: • We tend to naturally move to our comfort zones! • To reach a goal we must leave a comfort zone!

  40. Leaving the Comfort Zone Someday, when I have the time, I’m going to… This is not a goal because it has no deadline! A goal is a planned for event. A dream with a timeline!

  41. Here I am! You were Born! You’re Going to Die! Time Line

  42. Keys to Effective Goal Planning: • Supported by your governing values • Time dimensioned • Clearly and specifically defined • Own the goal • Be realistic • Look for accountability partners • Always be willing to adapt

  43. Intermediate Goals Long-Range Goals Governing Values Setting Long-Range Goals Focus

  44. Value: I am physically fit. Long Range Goal: One year from today I will be aerobically fit, exercising a minimum of 30 minutes a day, three days a week. Notice that we have shot that arrow into the future and the long range goal is measurable.

  45. Intermediate Goals (& Daily Tasks) A1 I have had a physical exam to determine my current physical condition. A2 I have chosen the aerobic exercise I enjoy most. A3 I have devised an exercise plan to determine how much exercise I must do to reach an ideal fitness level. [And so on…] 3-30-2012 4-30-3012 5-30-2012

  46. Daily Task List Intermediate Goals Long-Range Goals Governing Values Today: The Critical Moment Your “To Do” List

  47. A Daily Task List is a tool for controlling today’s events so that you can achieve your intermediate and long-range goals! • Have your calendar with you always! No matter what you use! • Have only ONE calendar! • Get rid of floaters! • Guard your planning time like it is your most precious gift! • Tell people you are doing this!

  48. Remember! No matter what calendar you use, the foundations for planning your day are the same!

  49. Daily Planning Procedure • Select an environment free from distractions. • Review values and goals. • Review prior day’s task list for any incomplete activities. • Review notes from previous day. • Review monthly calendar. What’s coming up? • Review the next few days’ schedule to see what needs preparation. • Write appropriate activities in your Daily Task List. • Prioritize activities (A,B,C). Put in numerical order. • Remember the difference between vital and urgent. Plan ahead for possible interruptions.
