  2. Quick Overview The web based calendars are to be used to share appointment information between the CenterPoint STR and the providers.

  3. Guidelines for Using the Web Based Calendars Providers will enter available appointment slots into calendars. They will put the word “available” in each time slot that they allocate. CenterPoint will book STR calls over available appointment slots using serialized event ID’s. CenterPoint will send referral/authorization forms to the providers on a daily basis. These forms will contain the serialized event ID’s, pertinent screening information and the authorization number for initial services. Providers will translate and transfer “booked” STR events into their systems.   NO HIPAA identifiable information shall be entered into the web based calendars. The Web based calendars will only be used to hold available appointments and serialized event ID’s. They shall not be used for other provider calendaring purposes.

Notes About the Web Based Calendars • The calendars will only show weekdays but this can be changed upon the request of a provider. • The available time slots range from 7:00 AM to 6:30 PM for each weekday but this can be changed upon the request of a provider. • The words “recurring” and “repeating” are used interchangeably during this training when talking about repeating appointments. • Our goal was to make using the calendars as easy as possible. The “week-timeplan” view was chosen as the default calendar view to provide consistency between the STR and the providers. This view also fits well on most PC screens. • We did add a new “Display” feature to the calendars after most of the original training was recorded. We added the ability to switch from “week-timeplan” view into other calendar views. The default view will still be the “week-timeplan” view. When you actually train on using the calendars the choices at the bottom of the screen may look somewhat different from the recordings due to this change.

  6. Section I Logging into the CenterPoint Web Based Calendars

  7. When you go to the website for the CenterPoint calendars you will click on the “Login” link (under the Calcium title) to start the authentication process (https://brownbearsoftware.com/hosted/cphs).

  8. On this screen, enter your assigned login name and password. Each provider will have their own calendar with their own set of login credentials. Each provider can only access their own calendar.

  9. After you enter your login credentials (Name and Password), click on the “Login” button to enter the calendar.

  10. After you have authenticated to the calendar system, you will see a screen like the one above. If you are a provider you should see a link to (1) “Existing Calendars” (in this training, “ABC Therapy”). Click this link to enter your calendar. Please note the “User Options” above where you can change your login password.

  12. Once you are authenticated you will see that the calendar has been structured around a “week” view. You can click on the navigation buttons above the month and year to move forward and backward in time. Drag the “right” scroll bar to go up and down in the calendar.

  13. Section III Adding New Events in the CenterPoint Web Based Calendars

  14. If you double-click inside one of the open time slots on the calendar you you will see the “Add New Event” popup where you can enter text for a new event and adjust the start and end times.

  15. After you enter the text and adjust the start and end time (if necessary) you can click on the “Create Event” button to add it to the calendar.

  17. Section IV Replacing or Deleting Events in the CenterPoint Web Based Calendars

  18. If you need to replace a calendar event or delete it, you can put your mouse pointer over the text in the time slot (mouse pointer will change to a cross hair) and then double click.

  19. After you double click over the event text that you want to replace or delete, you will get the “Edit Event” popup and you can change the text and click “Replace Event” or click “Delete Event” to delete it.

  21. Section V “Logout”, “Home” and “Options” in the CenterPoint Web Based Calendars

  22. Click on “Logout” to exit the calendar, click on “Home” to go back to the page that you would see after your initial calendar login and click on “Options” to see extras like “Printable View” and “Search for Events.”

  23. Section VI Going in and out of the “Day View” in the CenterPoint Web Based Calendars

  24. You can go into the “Day View” on a calendar by clicking on the Date number in the day of the week column (example above is “Thu 18”).

  25. This is what the “Day View” on a calendar will look like. It will give you greater detail for a particular day. Click on the “back” arrow on your browser to go back to week view or you can click on “Home” at the bottom of the screen and then re-enter the calendar.

  26. Section VII Creating Repeating Appointments in CenterPoint Web Based Calendars

  27. To create “recurring” or “repeating” appointments, put your mouse pointer in an open time slot and double click to open the “Add New Event” popup. Enter text and then choose repeat options under the “Repeat Information” section. Click “Create Event” (in the “Repeat Information” section) when finished.

  29. Section VIII Replacing/Deleting Repeating Appointments in CenterPoint Web Based Calendars

  30. “Recurring” or “repeating” events should be replaced one at a time (just like you would replace an individual entry). “Recurring” or “repeating” events can be deleted one at a time (just like you would replace an individual entry) or they can be deleted as a series.

  31. The first step to delete a series of “Recurring” or “repeating” events is to go into the day view that contains one of “Recurring” or “repeating” events (go back to slide #24 if you have questions about getting into “Day View”).

  32. Next, go to the bottom of the “Day View” screen and click on “Add/Edit”. This brings up the screen shown above. In this view you can see the repeating event information. Make a choice of “Which Instances” you want to delete and then click the “Delete” button. Click on “View Calendar” to go back to “Day View”.

  33. Section IX BONUS- Added Views in CenterPoint Web Based Calendars!

  34. After the Computer Based Training was recorded, the decision was made to add “Display” views to the calendars. The default calendar view will always be the “Week-Time Plan” but now you have other view options. When you change views it will revert back to “Week-Time Plan” after you logout/close your browser.
