  1. Planning Service Projects Ally Bogan District Service Chair 2011-2012

  2. Ice Breaker! Switcheroo! • Grab a partner and form two lines facing each other • One side will observe the other for 15 seconds • Then partners will turn around and change one discrete thing about themselves • Other partner will have to guess the change

  3. Finding Service Projects • Resources • Websites (volunteermatch.org) • Past experience with organization or event • Word of Mouth • Other clubs • Friends or other members (may have contacts) • Always keep the member’s interests in mind; some service projects are better suited for your club than others.

  4. Contacting Coordinators • When expressing interest to the coordinator, make sure you get all the details (date, times, location, and tasks) • Be able to tell the coordinator a rough estimate of how large your group will be • Represent your club in a positive and professional manner

  5. Informing the Members • Means of communicating with the club • General meetings • Email • Text messages/phone calls • Club website • Make sure all details of event are confirmed before you announce the event to the club * Remember that emails are great for getting across a lot of information at once and text messages should be more direct with only the necessary details

  6. Things to Keep in Mind • Attendance at service projects is influenced by many different factors • Time of day (early morning, late afternoon, etc.) • Other personal commitments or school priorities (finals week, winter break, etc.)

  7. More Things to Keep in Mind • Make sure you know of any special details for certain events • Specific attire or dress code needed (close toed shoes, no tank tops, etc.) • Parking available at the cite of the project • Importance of being on time (certain events are more strict than others) • Make sure you can set up a carpooling system if needed

  8. Organization • Keep a planner/calendar with you and write the dates of all projects and other CKI events • Plan service projects at least 2 weeks in advance • This also allows you time to inform the club in an orderly manner • This helps members plan ahead and keep certain dates open

  9. Specific situations • Booking two projects on one day • Back to back projects can be intense for smaller clubs, but larger clubs may need to do this because one event may not provide enough work for their group size • Two projects at the same time • This can be difficult to handle so make sure you have help and that each project has a chairperson

  10. Feedback! • Ask the members which projects they liked or organizations they want to work with • Ask the board for their perspective • Also make sure that service projects are getting recorded correctly and that each member is getting recognized for their effort * Feel free to contact me at allybogan91@gmail.com if you have any questions! 
