  1. Studio Management Program This presentation will enable you to have a look at the efficiency of the database and the possibility of upgrading your studio!

  2. The opening page to the database is your actual diary. You will there be able to see all the essential details re the event and the people involved. All quotations are visible on this page as well (colored in green)

  3. First step price quotations screen. This screen contains all price quotations awaiting customer reply.

  4. The price quotation could be printed/emailed to customer

  5. New tasks could be added to each quotation while all which are connected to the quotation are saved, but as long as their status has not been changed to “closed” they will still show together on the tasks page (on the left menu). The employee can respond by comments.

  6. There are two options: 1. Quotation accepted: clicking “Move to events” will plant the quotation to “Events Management” showing as “ordered”. 2. Quotation rejected: while updating we change the quotation status to “rejected” and underneath it is possible entering the rejection reason and additional details.

  7. This screen reflects all the rejected proposals. Going through the presentation we will be able to see the final reports which sum up the rejected proposal sorted by the rejection reason.

  8. Events Management - Orders activity screen which enables adding an event on the spot without the need to go through the quotation. By each event (on the event’s details) you will be able to see the event final cost, how much has been paid and the event profitability which is measured by the event cost (detailed on the left)

  9. Whilst editing the event we apply the working team as well as change the event status. Events which show a “closed” status go to the events archive.

  10. Clicking on the customer payment details on former screen is bringing us to this screen which sums up all the payments sorted by dates and means of payment.

  11. Clicking events cost details from the management screen brings us to this screen on which automatically shows all the working crew assigned to the particular event . Additional costs can be added – such as developing, printouts etc..

  12. On this screen we can see all the customers on actual active events and from the archive (closed eventse). Emailing these customers is possible from this screen as well. Clicking on the customers name brings us to the events history: event details, price, payments etc.

  13. Second part of the database: Employees management, suppliers and inventory. Clicking on the total will show all the events for which you still are in debt to the employee.

  14. This screen contains the supplier list and their connection details. Clicking on the total will show all your orders and the sum in debt.

  15. This screen shows all accurate existing products on the inventory as well as the general total in debt to suppliers.

  16. This screen shows all the inventory orders to a specific product: dates, cost per single product and total for payment. From here you can update the invoice number and payment date for the order. This screen enables follow up of supplier change in prices. Unpaid orders are showing in blue.

  17. On this screen we can see all the business partners sorted by occupation. We can see all the joint events which took place with each supplier and the history of our relationship – sending out discs, phone conversations, cooperation conclusion, commissions etc.

  18. This report is used for collections and presents the lists of all customers in debt as well as general debt total and the number of customers sharing this debt.

  19. The last part of the database – general definitions and users permits. It is impossible to delete a status to which an event has been applied.

  20. It is impossible to delete a specific kind of event to which a quotation or an event has been applied.
