Background • Began as HOPE (Helping Older People Engage) Initiative as part of a national initiative, the Community Experience Partnership (CEP) • CEP set out to advance the paradigm shift of older adults being viewed as community assets rather than simply users of services • No longer the HOPE Initiative because we want to invite Cape Codders of all ages to engage in their community

A little bit about the website… • Three types of users: • Administrator, agency, volunteer • Register, post your opportunities & volunteers will find them • Lingo: • Volunteer Solutions: the software we use to make our website • Truist: the software manufacturer • agency listing: agency profile • volunteer opportunity: the specific activity you have for a volunteer to do

Before you register… Here are items you should have on hand: • Primary contact's e-mail address, phone number, and mailing address • Password for your agency • Employer Identification Number (EIN) -- optional • Background info (including agency's mission statement, history, and description of services) • Coordinator's name, e-mail, phone, and the address for each volunteer opportunity listing • Title of your opportunity listing, description, and dates (1 volunteer opportunity posting should be posted during the initial registration process!)

  16. Start at the Cape Cod Volunteers homepage: Click the link “Please post your volunteer opportunities online.”

  17. Register as an agency: On the Agency Login page, select “Click here to get started”

  18. Sign up! • After submitting the requested information, your registration request will be sent to an Administrator, who will approve your agency account.

  20. Once approved… • When the Administrator approves and activates your account, you are free to modify the information and settings in your account, begin creating volunteer opportunities, and start tracking referrals and volunteer hours. • You can make changes to your Agency account at any time. In addition, you will need to renew your Agency account after an elapsed amount of time specified by an Administrator (typically after 12 months), or your account will expire.

  21. Logging in to your agency account • Go http://www.capecodvolunteers.org/agency/ • Type in your Agency name and password you used when you registered. • Click Go!

  22. Before you create a volunteer opportunity… There are 2 types of Volunteer Opportunities: • Date-specific: Required to have one or more specific dates and expire when date has passed. (e.g., you need volunteers to serve food at your annual fundraiser) • Ongoing: Volunteer assistance is needed on a continual basis (e.g., stuffing envelopes, filing, etc) • Remain on website until you disable or delete them.

  23. Let’s make a volunteer opportunity! • Click on the Opportunities tab. • Click on the appropriate link (date-specific or ongoing) for the opportunity you wish to create.

  24. Let’s make a volunteer opportunity! • Next, supply the information requested in the fields provided for General Information. • Click Save and Continue. • If necessary, fill out Geographic Location form. • Click Save and Continue.

Registration Complete! • After filling out all the requested information for your volunteer Opportunities, Volunteer Solutions will display a Registration Complete page. • However, your opportunity will not appear on the Cape Cod Volunteers website until an Administrator has viewed and approved it.

  26. How do volunteers find out about my volunteer opportunity? • When a volunteer is interested in your opportunity, they will get in touch with you by phone, e-mail, or fax to learn more. • This initial contact is known as an inquiry or referral. • An e-mail notification will be sent to the primary contact when a volunteer fills out a referral for your volunteer opportunity.

  27. How do I access New Referrals? You can retrieve your volunteer referrals in two ways: • By clicking on Follow up on [number] referral(s) under the Tasks section on your myHome page. • The [number] will represent the number of e-mail referrals awaiting review and response. • Or by simply clicking on the Referrals tab of your Agency Account.

  28. Referral follow-up Referrals from volunteers should be followed up on promptly! A prompt response to a volunteer inquiry… • builds goodwill • encourages the volunteer to return to you when new opportunities become available • encourages the volunteer to recommend you to other volunteers

How do volunteer hours get tracked? • Volunteers can log hours themselves by submitting a claim, which you review and approve. • Or your organization can log hours for a volunteer by using the referral record that matched them to the opportunity, and/or by using the Hours tab on your Agency myHome page.

  30. Wishlist • Registered agencies can post needed items to advertise for donations from community members. In turn, volunteers can list items they wish to donate. • To post a Wishlist for your agency: 1) Click on the Wishlist tab on your myHome page. 2) Click on Post an item that your agency needs link 3) Fill in the requested information and click on the Save and Continue link.

  31. Wishlist While browsing, if you find an item that your agency needs, you can easily contact the donor to claim that donation: • Click on the Available Items on the left hand side of the page to view all posted available donations. • Contact the donor directly to claim the item(s) and arrange for delivery or pick up.

  32. What are News Items and Community Spotlights? • News Items are posted to educate Agencies on national or community events. • Community Spotlight highlights upcoming volunteer opportunities and events. Both are posted by Administrators. They are helpful in recruiting or recognizing your volunteers, or learning about upcoming professional training opportunities.

  33. Can I request my events or opportunities be spotlighted? Yes, of course! On your myHome page, click on the Learn about Spotlight link. • On the next screen, click the let us know link. • Fill out the requested information and click Send Comments.

  34. Requesting a Spotlight/News Item • Once your request is complete, it will be sent to an Administrator for approval. • When your request is approved, you will be able to see your Spotlight on the myHome page and it will be visible by Agencies and volunteers.

  35. What is Board Connections? Board Connections allows you to list open board positions and interview potential applicants.

  36. List a Board Opening To list a board position opening: 1) Go to myHome and select the Board Connections tab. 2) Click the link Add Board Connections information. 3)Fill in the requested information 4) Your listing can be found by potential applicants when they click the Board Connections link.

  37. What is Volunteer Events Management (VEM2)? Volunteer Solutions offers a tool called Volunteer Event Management (VEM2) that allows Administrators to plan and manage events involving large numbers of Agencies and volunteers. • Event specific opportunities are known as Projects. • As an Agency, you may be asked by Administrators to create a project specifically for an event. • With VEM2 you can enter project details, select the number of volunteers needed, and shifts (“time slots”) available.

  38. How do I connect my project to a special event? • Select the Events entry tab on the top of your myHome page. • Click on the Projects Sign-Up link next to the Event you want to make a Project for. • Select the Add a Project link and fill in the details of your project.
