How is ICT used in libraries ? • Provide access to a range of electronic information resources . • Manage materials held in particular collections . • Keep a check on which books are out on loan and who has them . • Two types of information system used in libraries • Manual . • Computer-based .

Manual information system in libraries • Used mostly in smaller libraries as there are less books and members . • E.g • School libraries like Adni • In adni, the librarian is always at the counter. He/she is the one who scan the books by herself. No machines is involved. All the data would be put into the computer manually. So, if a librarian wants to know who borrows which books, she would have to check the data herself

Computer-based information system in libraries • Used mostly in larger libraries as there are more books and members • Usually in public libraries like the National Library • Input by bar code readers. Machines are commonly involved. Example, the loaner could just put the returned books in a machine and the machine will recognise the books by the bar code. • Read the member ID from the member’s library card

Member ID • It used to identify the member rather than using the name as was done in school libraries. • It is easier to identify the member by using a member ID. • This is especially important in the loans file which keeps track of the loans that have been made and are still outstanding. • The is an extra field in the member file called the member ID, which will be the key field. This key field will then appear in the loans file instead of the name of the borrower.

Bar code readers • Used by librarians to feed the data directly from the bar code printed on a book into the computer • It can be used when the librarian catalogs the book, before issuing to a patron, or after receiving the book back from the reader. • It can be used both in small and big libraries but it is widely and commonly used in larger libraries to make work easier.

  7. The method of dealing with overdue books in pubic libraries • The loans file will be searched each day for books that are overdue. • Any records that represent loans that have not been returned will have the member ID and the book ID read • The member ID can be used to search the member file for the details of the member who has not brought the book back. • The book ID can be used to search the book file for details about the book. • These details can then be used to produce a letter or an email which can be sent to the member telling him that the book is overdue and asking for it to be returned.

Benefits of ICT in libraries • Letters are sent out automatically when books are late. • It is easier to see if a certain book is available. • Search for information on borrowers • Search for information on books • Store (new) records of books • Store records of borrowers • Print out overdue reminders • Calculate fines • Identify reading habits of pupils
