Introduction • Computerisation started in India Post with DOP mail system to support counter operations • Next level was the introduction of VSAT system for MO transmission • With the advent of Windows OS, the current form of computing started in 1998 with introduction of Meghdoot and Sanchay Post

  3. Operating environment - Windows • A server running Windows 2x server housed in a secure environment and physical access regulated • Clients running Windows desktop operating systems (Windows 2000, xp, vista or 7) and physically connected to the server through cables • All LAN cables connected centrally to a hub/switch forming star or star-bus topology • Server and clients are bound by domain concept to implement user and share level security • One or more systems connected to internet through service provider to run internet based applications or to exchange data with central server for WAN based applications • Periodically updated with service packs or automatic updates

Operating environment – SQL server • SQL Server is an RDBMS to manage data • The server component is installed in the server • Client component installed in all clients • All applications running in the environment work with data in application specific databases residing in SQL Server • Includes tools to manage and secure data and databases • Needs to be secured against inadvertent or intentional manipulations • Needs to be updated with service packs

  5. Operating environment - applications • All PO applications use the Windows/SQL server environment • Databases and server components reside in the server • Client components installed in clients connect to the server/databases to run applications for performing routine operations

Functionalities of applications • Point of Sale • Booking of all categories of accountable articles of letter and parcel mail for inland and foreign countries. • Booking of speed post and EPP articles • Financial transactions – Booking of MOs ,eMOs, MO Videsh, PLI,RPLI,TRC,UCR. • e Payment transactions –Collecting bills, NPS transactions • Booking of eVP transactions • Sale/Payment of IPOs • Maintenance of IPO Stock Register

Functionalities of applications • Postman Module • Receipt of Registered bag/Parcel bag • Invoicing the articles (RLs/MOs/RPs /eMOs /Unpaid articles) to the postmen . • Invoicing the articles to be kept in deposit/direct delivery • Invoicing the articles to the BOs /SOs • Generating the related reports • Transfer the MO data to the treasurer for payment of cash to the postmen • Accepting the returns from the postmen • Submission of the postmen accounts • Window delivery/payment of the articles/Mos • Generating MO paid lists, abstracts ,performance reports

Functionalities of applications • Subaccounts • Integrates and monitors subordinate office accounts(HO monitors SO accounts, SO monitors BO accounts) • Preparation of the SO slip/BO slip invoicing the documents sent along with the Cash/Stamp remittance particulars • Preparation of the SO/BO Summary • Verification and adjustment of the remittances received and sent • Preparation of the transit summary and the advance summary

Functionalities of applications • Treasury • Receipt of cash /cheques from the counters-Point of sale, SB cash and subordinate offices • Receipt of cash from the postmen • Receipt of cash /stamps from the HO/PSD • Payment of cash to the counters, postmen • Remittance of cash,stamps,cheques to the subordinate offices • Sale of stamps, publications • e Payment transactions • Generation of TCB,SO daily account /HO Summary • Generation of stamp balance register

Functionalities of applications • Accountant • Drawal of pay bills • Maintenance of GPF accounts • Maintenance of Schedules of various transactions –eg., PLI,RPLI, UCR etc., • Drawal of other bills • Contingent bills • Bank reconciliation • Pension Payment • Generation of cash book, cash account

Functionalities of applications • Sanchay Post • Online transactions module • Acceptance of deposits and investments in all types of accounts and certificates • Printing of passbook entries and scanning of signature of depositors • Allowing withdrawal, closure, discharge • Automatic transfer of interest between accounts • Transfer of transaction files for upload between HO and SOs • Generation of transaction reports • SOSB module (working at HO) • Posting/updating SO transactions at HO • Generating reports including consolidated journal

Functionalities of applications • eMO • Electronic transmission of Money orders from booking office to payment office • Facilities like one-to-many, many-to-one are available • Tracking available for customer and MIS reports available for management • ePayment • Electronic transfer of bill data from accepting office to desired payment office of the biller • Electronic transfer of NPS and RMFS data • MIS reports of transaction data

Functionalities of applications • Speednet • Installed in POs, Speed post sorting hubs handling speed post articles • Collection of speed Post articles from booking point • Receipt of speed post bags and contents thereof • Collection of articles from BNPL/bulk customers • Closing and despatch of bags to destinations • Issue of articles to beats, other offices and accepting returns/entering remarks • Generating transaction reports • Includes communication module for exchange of article and bag data with central server • Has tracking facility of articles and MIS reports • Also provides quality reports under MNOP for management to aid mail planning and improving performance

Functionalities of applications • RNet • Integrates registered/insured/VP letter mail transactions across Post Offices and Sorting offices • No separate application deployed in POs – Articles booked in Point of sale, despatch list generated thro’ despatch module, issued to beats for delivery in Postman module • In sorting offices, RNet application deployed to receive bag and content articles, include articles in bag for despatch and generate standard reports • Communication module working in PO and RMS offices exchanges article and bag data with central server • Facilitates tracking of registered letter mail for the customer • Provides transaction related MIS to management
