How to access eStudent You can access eStudent from • http://www.polyu.edu.hk/student/; or • https://www38.polyu.edu.hk/eStudent/ (Direct link); or • PolyU Homepage > myPolyU (University Portal) > eStudent You are required to login the system by using NetID & NetPassword. Please use Chrome / Internet Explorer 7 browsers for logging in the system.

  12. 3. Preparation for Subject Registration • Before register subject(s) online, you should check: • Study Information – Subjects registration record in the semester • Personal Checklist – Earliest Commencing Time • Subject Information Subject Registration

  13. 3(i). Study Information (eStudent > My Profile > Study Information) In “Study Information”, you can check • subject(s) pre-assigned to you by your programme offering department; and • subjects registered by yourself; and • Your credit transfer / subject exemption / subject withdrawal records

  14. 3(i). Study Information (eStudent > My Profile > Study Information) • Select the relevant Academic Year/Semester to see the records • (E.g. 2014-15 Semester 1) 2014 - 15 Semester 1 2014-15 Semester 1 73416-EID 01N01

Personal Checklist (eStudent > My Subject Registration > Personal Checklist) menu In “Personal Checklist”, you can check • the period for subject registration by academic year/semester; and • your assigned earliest commencing timefor performing subject registration (i.e. start time). 2014 - 15 Semester 1 08-AUG-2014 09:00 to 13-AUG-2014 08:00 13-AUG-2014 09:00 to 14-AUG-2014 02:30

Personal Checklist (eStudent > My Subject Registration > Personal Checklist) You should note • your start time • no system service from 08:00 – 08:59 on the last day of Subject Registration Period • whether you should confirm your selection ONCE only • whether your add/drop count will be accumulated

  17. 3(iii) Subject Information You can check subject information, subject groups, vacancy, class timetable before performing subject registration via “Subject Search” function. There are 2 options of searching: By Programme or By Subject search

  18. 3(iii) Subject Information Subject Search Steps: • By Programme search • Select ‘By Programme’ • Select the Offering Department and the programme you are enrolled on • Press ‘Search’ 1 2 2014 -15 Semester 1 3

  19. 3(iii) Subject Information Subject Search Steps: • By Subject search • Select ‘By Subject’ • Select subject category, offering department, input subject code/title • Press ‘Search 1 2014-15 Semester 1 2 3

  20. 3(iii) Subject Information • Subjects on offer of the selected Academic Year/Semester will be shown in the result. • Click the subject code to view the subject details. 2014-15 Semester 1

  21. 3(iii) Subject Information This part shows the basic information of the subject, e.g. category, duration, consecutive pattern, etc. You can view the subject synopsis by clicking the link. This part shows the requirement for taking the subjects, e.g. subject pre-requisite/co-requisite requirement or any subject/programme exclusion. This part shows the offering details, e.g. whether the subject is offered to your programme, vacancy, timetable info.

  22. 3(iii) Subject Information • For checking the class timetable information, you should pay attention to the following information • Start Week, End Week, For Every Week, Day of Week • Start Time, End Time • Venue

Subject Registration Subject Registration on Web • To ensure a fair chance to all students in registration of subjects, students can confirm their selection ONCE, and changes could be done during Re-opening period for each round, or during the add/drop period Important Note: • will NOT be affected by rainstorm warning / typhoons / public holidays • will NOT be extended

  24. 4. Subject Registration • Start your subject registration by selecting the relevant academic year/semester 2014-15 Semester 1

  25. 4. Subject Registration In the Subject Registration Page, there are 2 main blocks. Left hand side: Search and Select Subject(s) Right hand side: My Subject Shopping Cart 2014-15

  26. 4. Subject Registration Search and Select Subject(s) block • To select subject(s) and put in the basket (i.e. My Subject Shopping Cart block) My Subject Shopping Cart block • To confirm your selected subjects

  27. 4. Subject Registration Steps for subject selections: Step 1: Search subject by using Basic Search • If you know the subject code of the subject you would like to register, you can input the subject code and press ‘Search’ button.

  28. 4. Subject Registration Steps for subject selections: Step 1: Search subject by using Advanced Search • You can choose a subject from a list, by choosing the designated Programme and Subject Category and press ‘Search’ button.

  30. 4. Subject Registration Steps for subject selections: Step 2: Select the subject group and press ‘+’ button • You should select the subject group which has vacancy (i.e. vacancy > 0) and press ‘+’ button 4.5

  31. 4. Subject Registration Steps for subject selections: Step 3: Select the component(s) and press ‘Add to Cart’ button • Select one component from each type by ticking the check box • E.g. LEC and SEM, Select one LEC and one from SEM • Press ‘Add to Cart’button

  32. 4. Subject Registration Steps for subject selections: Step 4: The subject will be displayed in the My Subject Shopping Cart block • You can repeat Steps 1 – 3 to select other subjects. LEC001 SEM002

Subject Registration Steps for subject selections: Step 5: After selecting ALLsubjects, press ‘Confirm’. • You should check if your selected subjects exceed the maximum number of extra credits(s) before press ‘Confirm’ to submit your selection. Prior approval by your Department is required for dropping of subjects pre-assigned/registered by your department LEC001 SEM002

Subject Registration Steps for subject selections: Step 6: For successful confirmation, a confirmation page with the registered subjects & a reference number will be shown to you. • Please check your personalized timetable via My Timetable > Class Timetable • Please check your records via My Profile > Study Information 7.50

Add/Drop Period Add/Drop Period • The screen layout & procedures for add/drop subjects during the Add/Drop period is the same as the Subject Registration in the previous section. • During the last 2 days of the add/drop period, you can also • retake a previously pass subject (except for GUR subjects) for improving grades • register on subjects outside curriculum (for students of Full-time programmes only; students of Mixed-Mode Full-time, Mixed-mode Part-time, Part-time programmes are not eligible) • Add/drop count will be accumulated during the Add/Drop period Important Note: • If you add/drop subjects more than 4 times (i.e. add/drop count ≥ 5), your earliest commencing time to access ‘subject registration’ in the next semester will be postponed. (This arrangement is not applicable to the Summer Term Add/Drop Period and also the new students in their 1st semester.)

  36. 5. Add/Drop Period • For retake a previously pass subject, except for GUR subjects, during the last 2 days of the add/drop period, you can choose the subject via the Retake Pass tab page.

  37. 5. Add/Drop Period Register on subjects outside curriculum during the last 2 days of the add/drop period (for students of Full-time programmes only) • Step 1: search a subject via Subject Search function • Step 2: input the subject code in Basic Search tab page

Add/Drop Period Check your cumulative add/drop count • A record of your Cumulative Add/Drop Counts in a semester will be displayed to you at the My Subject Shopping Cart block when you logon eStudent > Subject Registration during the Add/Drop period. • After you process subject registration (add and/or drop subjects), the up-to-date cumulative Add/Drop counts will be updated for your reference in the confirmation page. 7.5

What to do with subjects with no more vacancy (Preferred Subject Indication) Indicate your Preferred Subjects when there is no vacancy for the subject group • During the subject registration process, if there is no vacancy for the subject(s) you would like to take, you may indicate your wish in taking the subject(s) via Preferred Subject Indication function. • Department will contact you if study places of your preferred subject become available after the subject registration or add/drop periods. • Unlimited access to this function

What to do with subjects with no more vacancy (Preferred Subject Indication) Steps for indication of your preferred subjects: • Step 1: You should COMPLETE your subject registration process before INDICATE your preferred subjects. • Step 2 : At the confirmation page, there is a hyperlink for entering the Preferred Subject Indication function. 7.50

What to do with subjects with no more vacancy (Preferred Subject Indication) Steps for indication of your preferred subjects: • Step 3: You can search the subject, select them and put in the basket of My Preferred Subject Cart (similar to the subject registration process). • You can select up to 5 choices with prioritization. • Step 4: Press ‘Confirm’ to confirm your selection.

  42. 7. Common Errors in Subject Registration • During the subject registration exercises, you may encounter errors and will be alerted by the error messages. • Please check the error messages, if any, and fix it before you can successfully confirm your subject selection. 2014-15 2013-14 4.5

Common Errors in Subject Registration • Not yet reach your earliest commencing time for Subject Registration • You can only enter the subject registration page according to the earliest commencing time assigned to you. Your earliest commencing time has been shown in the message or you can check the details from your personal checklist.

Common Errors in Subject Registration • Cannot login the Subject Registration function, the webpage keeps showing ‘The function is not available...’ even though the earliest commencing time for Subject Registration is reached • Close your existing browser. Open the browser (i.e. Chrome or Internet Explorer) with eStudent website (www.polyu.edu.hk/student), input with your NetID and NetPassword. • DO NOT bookmark any individual webpage under eStudent. Please login eStudent properly via www.polyu.edu.hk/student or direct URL https://www38.polyu.edu.hk/eStudent.  

Common Errors in Subject Registration • Fail to fulfill the subject requirement for registration • You are not allowed to register on the subject if you have not fulfilled its pre-requisite/co-requisite/exclusion requirements. Please check the subject requirement listed in Subject Details or Subject Synopsis. • No vacancy for the subject group/component groups • You are not allowed to register on the subject if there is NO VACANCY. Please select other subject groups/subject components with vacancy, if any.

  46. 7. Common Errors in Subject Registration • Class timetable clashes between 2 Subjects • You are not allowed to register on the subject(s) if there is time-clashes between your personal timetable and the subject you would like to register. Please select other subject group/components for registration. • Maximum credits to be taken in a semester • In the first round of subject registration in a semester, your programme offering department may set a credit limit for you to register subjects online. Please refer to the maximum number of extra credits when you perform subject registration. • During Add/Drop period, such limit will be removed and your maximum credits to be taken in a semester is 21 credits according to the University requirement.

  47. 7. Common Errors in Subject Registration • Study load in a semester • You are not allowed to register more than 21 credits in a semester. If you have need to register subjects more than 21 credits, please approach your programme offering departments for approval.

  48. 8. Other Regulations Related to Subject Registration • Drop subjects after the Add/Drop period is NOT allowed. • Apply subject withdrawal • $105 subject withdrawal fee/subject + tuition fee paid will be forfeited • The withdrawal subjects will be printed on the ARN (with ‘W’ grade) and Transcript of Study • Application must be submitted before the start of examination period • Students are advised to refer to the Student Handbook for regulations related to the registration.
