  2. organisation eASTANA programme organisation will consist in: • Programme Office (PO) • Management Committee (MC) • Evaluation Committee (EC)

  3. organisation Programme Office (PO) The main project office will be based at Warsaw University of Technology, which will be in charge of the coordination with appropriate human resources, equipment and infrastructural facilities. PO has English and Russian speaking staff. In particular, it will be responsible for: • coordination of the eASTANA programme: agenda and task sharing; • communication with partners, meetings and reporting; • preparation of the membership agreement; • creation and maintain of a website, and a database for the eASTANA programme (partner documentation collection and formatting for the call of applications); • preparation of the call of candidates and the selection campaigns (launch the call, collect the offers and re-distribution of the information to the partners); • coordination of the support and the assistance for the applicants; • coordination with the partners of the mobility flow and relative actions; • financial management and budget follow up; • preparation of the progress and final reports; • coordination of the public relations; • preparation and coordination of the evaluation commission; • making proposals for furthering the collaboration.

  4. organisation Management Committee (MC) The Management Committee (MC) will be composed of one representative of each partner, i.e. 14 members. The MC is dedicated to: • discussing the PO actionsespeciallyselection; • discussing and approving the eASTANA programme agenda and its progress; • discussing and approving the financial budget; • if necessary, proposing corrective actions.

  5. organisation Each member of the MC will be responsible of implementing locally the eASTANA programme activities with the local structures and offices and of making decisions regarding the local procedures needed. Each of them will be responsible in particular, of: • preparing and circulating the call for applications; • following up the campaign and providing assistance to the applicants; • participating in the screening and the selection of the candidates; • preparing locally the in- orout-coming mobility activities (includingselectionassistance for visa/residence permits and learning agreements); • giving feedback all along the mobility action to all the members of the MC and to the PO, and at the end of the campaign; • generally speaking, co-operating in a truthful frame with the other partners and remaining in close contact all members and the PO through the collaborative environment, emails, phone, post, etc.

  7. organisation Evaluation Committee (EC) The committee will be composed with: • eASTANAprogramme coordinator, • associate partners representant, • two other Ersmus Mundus programs steering committees representants, • fourrepresentants of MC (twoarerepresented EU partners and twoarerepresented CA partners). The Evaluation Committee will deliberate both on the procedures and evaluation of the actions. Chosen for their high expertise in education and research, they will help to spread the best practices among national institutions and contribute to the mutual recognition. They will communicate with the PO and the MC members all along the process and will comment and evaluate the action.
