  1. Weather – Athletic Road Trip Tabletop Exercise

  2. Date:Time: • It is Saturday night. The basketball teams and supporters have been in (distant city) for a big game against (opponent high school). Student Life has promoted the event and offered a free bus ride to the game for high school students, faculty and staff. The weather has been very cold and a front is predicted to bring freezing rain and icing conditions on Sunday. • After the two buses leave for (distant city), there is a concern from some weather forecasters that the front may pick up speed and arrive late Saturday night or early Sunday morning.

  3. Discussion • Who knows where emergency contact information for players, coaches and support personnel is kept? If that person is away, who else knows where the information is? • Do we have a system that tells someone here in El Paos who is on the buses? • When we offer rides on a chartered bus to the (high school) community to and from the game, does someone keep a roster? Does that roster stay here or go along on the bus?

  4. Date:Time: After the (home) women’s basketball game ends with a solid victory over (opponent high school), Campus Police are alerted about a rapidly approaching cold front that has closed highways to the north of both cities. (Details here should reflect a front moving toward the high school campus and opponent high school’s cities)

  5. Discussion • Is there anyone that would be monitoring the weather at the basketball game? • Is there a precedent to call a game due to what may happen with the weather as opposed to what is actually happening at the time? • Is there a plan to provide emergency housing for teams and fans that may become trapped due to weather?

  6. Date:Time: • The men’s game ends, and the buses begin their trip back home. The front has not caused icing yet but the conditions are such that it could happen any time. The highways are still open south of our hometown.

  7. Discussion • Who makes the decision about trying to make it back to (home) or staying in (distant city)? • Who pays the expenses if the decision is made to stay at a hotel for the night? • What if the conditions worsen and everyone has to remain in (distant city) for days?

  8. Date: Time: • At 11 PM, the District Police Department is notified by the Department of Public Safety that there has been a major accident on (interstate highway). The report states that a bus carrying the high school men’s basketball team has skidded off the roadway north of (distant city). There are reportedly 2 persons dead at the scene and 4 transported to area hospitals with serious injuries. The remaining passengers are reported to be in good or uninjured condition. • DPS has closed the interstate from (distant city), north to the (bordering state) border.

  9. Discussion • Who does District PD notify at this time? • What roles do the following play: • Campus Administration • Athletics • Dean of Students • Academic Affairs • Communications • IT • District PD • Counseling Center • Office of the Superintendent
