Overview Our project called “ Tele-sirs “ is another approach to university student information & registration system using IVR technology, in an attempt to give students a new facility to get the information he/she wants & to register courses for a semester using additional unusual approach which is the telephone .

  4. What is IVR ? Short for interactive voice response, a telephony technology in which someone uses a touch-tone telephone to interact with a database to acquire information from or enter data into the database.

  5. Why Student Information & Registration System? We took the student information & registration system as an application , may be because we are students, in touch with this system all the time , and we are so familiar with it , in a hope to enhance the current one practically which is so traditional and sometimes considered to be very old especially nowadays , since it’s time students would no longer worry about that day when they have to register .

  6. Current System Problems • The registration process is done manually, where the student fill out a paper form then waits in a long queue until reaching the clerk who fed the information into the computer, this process is very boring and consumes a lot of time for the students, so our system try to reduce the pressure in the current system and enable students to register their courses while they are sitting in the home that will reduce the effort that needed for registration process especially for foreign student who may spend holidays in their home country.

  7. ..Current System Problems • The existing registration process is not economical system where a lot of paper consumed for the paper form, so our system comes to solve this problem where no paper needed for the registration process. • The existing registration needs many registrars to carry out the process, therefore our system reduces the number of registrars involved in the registration system. • The manual registration process stills for only 8 hours a day but our system could work for 24 hour a day, that gives wide range of time for registration process.

System Benefits • An Assistant to the current system to reduce the pressure that occurs in the main registration process. • Fast access for important student data like university academic calendar ,exams duration,grades and results , fees , courses information ,registration status ,and others . • Home registration & data access, that will reduce the effort needed for registration process especially for foreign students who may spend holidays in their home country.

  9. ..System Benefits • Tele-sirs system saves a lot of time for the student. • Tele-sirs system saves a lot of effort performed by the registrars. • Tele-sirs reduces number of registrars involved in the registration system that reduces the university financial payments. • Enables instructors to leave voice messages and retrieve incoming voice messages from his/her private voicemail box .

  10. ..System Benefits • Tele-registration system maximizes the availability of services at any time. • Tele-registration is economical system, which saves a lot of form paper for the university . • Enables students to contact their instructors via voice mail, which is not introduced yet . • Enables students to get information to his/her email upon request . • Enables students to keep up with latest occasions in the university .

System Requirements Software • Oracle 8i or oracle9i database (SQL plus 8.0 and oracle developer 9.0) or any DBMS available . • Interactive voice response software like (VoiceGuide, sqlphone, Show N Tel tm or kdtele tools…), But we selected the best one. • Windows 95/98/ME/NT/2000/XP • A driver for your modem or your voice board.

  12. System Requirements Hardware • Pentium PC. • Adequate hard disk space for voice files storage To play voice files, one of the following: • A professional voice board • A Voice Modem, Dialogic card or other Telephony Device.  • One or more telephone lines connected to your voice board ports.

Student Services • Calendar. • Faculties’ information. • Course information. • Registration information. • Student grades information. • Real registration process. • Voice mail message to instructor service. • Student fees information. • Request the service of sending an email with specific information.

  17. Constraints • Each instructor has his/her private voicemail box number and pin number by which he/she can access his/her own voicemail box . • Every student must know his or her password for both the registration process or for accessing student private data such as grades. •   The student can register the courses when his or her specified date and time for registration come.

  18. ..Constraints • The student cannot register more than 21 hours per semester. •    The student cannot register any course without taking all its Prerequisite courses. •    Any student who was fired from the university cannot register any course. • Any male student who didn’t postpone his military service before the registration process will not be able to register any course .

Conclusion • Tele-SIRS is one application of interactive voice response (IVR) technology, which provides an important services for university students ,instructors and others . • Tele-SIRS services is very essential to every university that wishes to facilitate the interaction between the university and its students and others, reduce the pressure that may occur in various parts of the university such as registration department, and maximize available options for the students in which they might find their most comfort & satisfaction. Therefore, our system is considered an assistant system to the existing systems.
