  3. Introduction What is the SUD Refresh functionality? The SUD Refresh functionality gives users the ability to refresh data on a created SUD based on final approved HRMS document changes. This functionality allows users to apply the most recent information from HRMS to a created SUD, such as: • Base pay increases • Additional pay increases • Reclassifications

  4. Introduction When is the Refresh functionality needed? • The SUD Refresh functionality is needed whenever an assignment change is made in HRMS via a Modify document at the same time a SUD is being processed. • A warning message indicates when the assignment data on the SUD should be refreshed.

  5. Example Scenario This is an example of a situation when the refresh functionality should be used. • An A&P position has been added to a SUD. • While the SUD is in process, a permanent additional pay is added to the incumbent via an HRMS Modify document with an effective date of 9/1/XX. • The new functionality alerts the user of an assignment change and instructs the user to refresh the data in the SUD. • Click the Refresh button on the Document Review page to update the data. NOTE: If the data is not refreshed in the SUD, HRMS will not reflect any changes made via the SUD.

  6. Example Refresh Warning Message This is the warning message a user will see on the SUD when assignment changes have been made in HRMS since the SUD was created.

  7. Exceptions When is the Refresh functionality unavailable? The Refresh functionality is unavailable if any of the following changes have been made in HRMS while a SUD is in process. • The position’s owning unit has been changed. The user is alerted that SUD data will not push to HRMS. • A permanent additional pay has been added to the incumbent via an HRMS Modify document with an effective date AFTER 9/1. The user is alerted that SUD data will not push to HRMS. • The position has been reclassified to a different job category. The user is alerted that the position must be removed from the SUD.

  8. Example Exception Warning Message The Refresh feature is not available for base pay increases after 9/1:

  9. Example Exception Error Message The Refresh feature is not available if the position is reclassified to a different job category:
