Organising a Charity Fund Raising Day • A charity wants to raise awareness of it’s work and to raise funds. • It is organising a fun day and wishes to: • Advertise the event • Get sponsorship from local organisations • Raise money by putting on various activities and / or performances on the day • The organisation which gives the most money will be given free tickets • Carry out all the tasks described on the following slides to create an ICT system to organise the fund raising event.

  3. Task 1 Organise and store information in a suitable folder structure (5 marks) • Throughout the assessment: • 1. Organise your work using suitable folders e.g. • A folder for unit2 Controlled assessment work • Subfolders for each task – use the pupil guides to find out what you will need • 2. Use suitable file names so the examiner can tell what is in each file • Create a file of screen dumps showing ALL the folders and files you have • used. Save the file with an appropriate name in an appropriate folder • 3. Move or copy a file to a different folder • Create a file of screen dumps of you files backed up to a USB drive and a • description of how and when the school network is backed up.   4. Task 2 (6 marks) Research 1. Collect information including pictures about the charity and about they types of activities and /or performers who could help raise money on the day. 2. Keep evidence of your sources and store this information appropriately e.g. as hyperlinks in Word files with suitable file names and in suitable subfolders OR as favourites in suitable folders 3. Do screen dumps to show your use of Web searches and URLs to find information. For each state the purpose of the search. Save the file with an appropriate filename in an appropriate folder If you use non electronic methods check with your teacher as to how you can save the evidence

Task 3 (1 mark) First Draft Create the first draft of a mail merge template for a newsletter to be sent to local organisations asking for sponsorship Use some of the data and pictures you gathered in the research section in the leaflet Save it with a suitable file name in an appropriate folder.

  6. Task 4 ( 1 mark) First Draft Create the first draft of a presentation using at least 3 slides or a website using at least 3 pages to advertise the charity fund raising day Save it with a suitable file name in an appropriate folder.

Task 5 (6 marks) Email Attach the first drafts of your newsletter and presentation OR website to a suitable email and send it to a friend or group of contacts asking for their comments on how to improve both of your drafts. Comments must be made on the documents – use call out balloons Ensure you keep screenshot evidence. Make screen dumps throughout the process. Save the file with a suitable file name in an appropriate folder. Open the reply or replies which have been sent to you and save them in a suitable folder for use later on.   8. Task 6 Review (6 marks) Comment on your own work and how it could be improved. [4 marks] Write a response to the comments received from others about your drafts. [2marks] Save the files with a suitable file names in an appropriate folder.

Task 9 Modelling (14 marks) • Create a spreadsheet to enable organisers to: • Store details of sponsorship from organisations • Store details of money raised through various fundraising activities • Store details of the money spent organising the charity event • Your spreadsheet must be able to work out: • the total sponsorship received • identify the largest financial sponsor who will be given free tickets • calculate the total money raised from different fundraising activities • the maximum and minimum amounts raised from different fundraising activities • Include any features you think will be helpful to manager in using the spreadsheet, • such as working out totals or displaying these comparisons. • • Complete the spreadsheet using basic and advanced skills • • Check it for accuracy or implausible data and save it in an appropriate folder with an • appropriate file name. • • Sort your spreadsheet in descending order of sponsorship form organisations and screenshot the evidence • • Write an explanation of the data, formulas, functions or any other features you have • used and save it in an appropriate folder with an appropriate file name .

  12. Task 10 Use the Spreadsheet (2 marks) Use your spreadsheet to do at least two ‘what if’ investigations, such as on One of your ‘what if’ investigations must change an item of numerical data . Describe the purpose of this investigation. Task 11 Data Handling (6 marks) Create a data file of bookings for the function room manager to use by completing the following tasks: Import the CSV ‘Organisations’ file your teacher will give you into a database. Add a suitable key field. Add four extra sensible fields. Use a variety of different data types (at least 2 other than text). Add a suitable validation technique to at least one of the fields in this database. Add two records to the existing database.

Task 12 Using Your Database ( 4 marks) Use your data file to: Sort the database in ascending order of names to make it easier to find an organisation’s name Show your validation technique works Search for and save a list of all organisations in Cardiff, so the organiser can visit them in person Search for and save a list of the organisations in Bridgend that have previously helped the charity in order to ask them to become involved in the event FOR EACH OF THE ABOVE SCREEN DUMP THE RESULTS and save the files with appropriate file names in an appropriate folder

Task 13 Using advanced skills implement (4 marks) • Using advanced skills implement four improvements to this database. • Mail merge your newsletter using the database and save the mail merged file. • Save the file with an appropriate file name in an appropriate folder– different from the original file name • Describe the improvements you have made and save the file in an appropriate folder with an appropriate file names

  16. Task 14 Summative Evaluation ( 7 marks) Produce an evaluation of your work. You should evaluate: • each of the parts (newsletter, presentation/website, spreadsheet and database) of the system you have created for the travel agent and make suggestions for improvements • your research methods and the suitability of the data collected • your working practices Save the file with appropriate file names in an appropriate folder
