  2. Click on my.monash portal

  3. Login… wambaru ●●●●●●●●

  4. Click on Research

  5. Now click on Services

  6. Click on the link to ROPES

  7. Click on My Publications

  8. This is ROPES’ snapshot screen Click on My Publications (again)

  9. Your publications display, below… Click on DIISR point listing

  10. Author Contribution is the column of interest… Now, scroll to the bottom of the page…

  11. Here we are at the bottom of the page. Download the entire table to your pc: Click the Download to Excel link

  12. Click OK to save the file on your pc

  13. Save the file somewhere where you can easily access it… Note filename: diisr_points.csv

  14. We will now open up the file in MS Excel and I’ll step you through what’s left to do… Go to where you stored the file on your hard drive and open it (in this example, it was stored in My Documents).

  15. Double-click the file to get started…

  16. Here’s the file, open in MS Excel …and the Author Contribution column

  17. Select the row containing the column headers, like this….

  18. …and now click on Sort & Filter (users of older versions of MS Excel: click on Data menu > Filter > Autofilter)

  19. …and click Filter

Dropdown boxes appear next to each column header We can use them to filter the table to show only what we are interested in Let’s say we only want to see publications (and their points) published from 2007 to 2010 AND only those that fall in DIISR (formerly DEST, DEEWR) categories. No problem…

  21. Let’s do the years of interest first… Click on the YearPublished column’s dropdown box…

  22. Remove the tick from (Select All) and re-select only the years of interest

  23. …now select the years ofinterest and click OK

  24. Now only records from the years ofinterest display

  25. We are only interested in publications in the following four categories: A1, B1, C1 and E1… Any record belonging to a category with “hyphen-something” at the end, must be filtered out e.g. C1-EXT, C1-LATE, etc. AND - any record belonging to a category with a number other than 1 in it, must also be filtered out e.g. A2, B2, C2, E4, etc. To hide records in non-DIISR categories (there is only one in the example above) it is a similar operation as for year… This time, however, we’ll filter on the DIISRCatcolumn, like this..

  26. Now we are looking at just DIISR publications across the years required. While you could manually add up the figures in the Author Contribution column, there is another way...

  27. Select all the visible cells in the table, including the column headings (Ctrl+A)

  28. Copy all the visible cells in the table (Ctrl+C). Only the filtered cells are selected. Now we will create a new worksheet and copy just the relevant records to it. Click the create new worksheet button below…

  29. We just created a new worksheet. Now paste in the records (Ctrl+V)…

  30. Now only those records we are interested in appear above Select the cell at the foot of the AuthorCntbtn column.

  31. Click the AutoSum button (Σ): The final step is to tally up the DIISR Author Contribution points.

  32. Lastly, hit the Enter key on your keyboard:

  33. Done! If your version of MS Excel doesn’t have an AutoSum button, click the fx button…

  34. SUM Enter “SUM” into Search for a function: (no quotes) then click the Go button

  35. SUM Enter “SUM” into Search for a function: (no quotes) then click the Go button

  36. SUM Under Select a function: ensure SUM is selected. Now click OK

  37. …and click OK one more time

  38. Done!

  39. You will want to save your work in a format that supports filters and formulae… So save your file in .xlsx or .xlsformat
