  2. Externship Interest Form • Fill out form today if possible or at the latest by Monday, December 7. Please return completed form to Susan (Hedco 273). • For medical you must provide at least a first and second choice for geographic area and type of placement • Note any particular interests, circumstances, etc.

How to find an In-State Externship • Fill out externship form and indicate you would like a medical and/or school placement in the state. • Be as specific as possible. • If you indicate “any” location – it can be anywhere. • Consider your professional future and personal needs. • Susan will review once all are in and start to make contacts. • Schedule a meeting before Feb. 15th to discuss sites that meet your expectations.

Timeline for In-State Externships • Schedule to meet with Susan by February 15 to identify sites that fit your expectations. • Will send sign-up mid-January for meeting times. • Do not contact any site in Oregon – Susan will make first contact with Oregon sites to verify that they are taking a student from UO. • If you have a specific contact please let Susan know ASAP. • Application process and deadlines vary depending on the site. • Note that some application deadlines are not until summer 2016 (e.g., VA Portland). • Local schools placements will be made by May for September Experience. Local school externship placements will be made by November 2016. • Medical placements will be finalized from March until October – depends on site and requirements.

  6. How to Find an Out-of-State Externship • Existing Contracts • Check infoCDS - There is a small number of out-of-state sites with whom we have a contract. Medical list and out of state schools list. • Remember it is difficult to get new contracts • If you know today that you want to go to an existing contract, indicate on your sheet. • If you determine later you want to go to an existing contract, email Susan • If you do want to go to a site with an existing contract and have communicated that to Susan you can relax. • Susan will be back in touch with details by mid-January.

How to find an Out-of-StateExternship (cont.) • New Contracts • Do a web search – Look for geographical area you are interested in, then search for a hospital, SNF, rehab facility that offers the type of services you are interested in (peds, adults, acute, outpatient, etc.) and/or a school district/EI agency. • If you want to do your externship in an area where you can stay with family/friends - ask your friends/family for names of hospitals, SNFs, school districts, etc. • This is an excellent opportunity to use any contacts you may have to help secure a spot.

  8. Making Initial Contact for Out-of-State Externship(s) • Before making contact, look at infoCDS and read “objectives for medical externship” and/or “objectives for school externship” and “requirements to be met by the supervisor”. • You don’t have to memorize the details. • Should have a basic outline in your head that you will use to form the discussion. • Know they will likely ask a question or two. • Write a script if making a phone call or ask for someone to review if sending a text.

Making Initial contact for out-of-state externships (cont.) • Contact sites that will work. • School District – Director of Special Ed or Head of Speech Services or Student Placement Coordinator. • First contact usually made via email. • Medical – Rehab Director, Head SLP, staff SLP or Student Placement Coordinator. • First contact usually made via phone. • Asking if they will host you for winter or spring term 2017. MUST have a firm YES to move forward.

Making Initial Contact for Out-of-State Externship (cont.) • Once you have a yes. • Let the contact person know that an affiliation contract will need to be put in place. • Ask who we should contact to initiate the contract process. • Affiliation contract/Memorandum of Understanding (MOU) • By March 1stsend info. below to Susan. • name of contact (person you spoke to) (first, last , title) • Contact person’s email address • Name and address of site • Name of CONTRACT person. • This is not likely to be the same as your contact. • CONTRACT person’s email address.

Timeline for Out-of-State Externship • Existing contract • Indicate interest December 2015 • Susan will contact or send you contact information January 2015 • Answer by March 2015. • New Contract • Research potential externship sites – December 2015. • Susan will have two office hours finals week to discuss details with anyone who is ready to make contact with a new site. This is especially important if you plan to contact a site over the December break. • Contact potential site during winter break or early winter term– January 2016

Timeline for Out-of-State Externship (cont.) • Initiate contract – March 2016 • Check back with Susan regarding contract. • Remember these take time – usually within 4 months we can predict if it is likely to go through. • Be amazingly gracious to the team that works to put these in place – Lindsay/Lalla (SE Fall 11 24/13/5) (ST 12 24/15/4) • If the contract is not working will have to regroup. • Once contract is in place – • SLP will be assigned by the site • Confirm current ASHA CCC • Provide site with any required documentation/complete requirements

  13. Who will contact – medical? • Susan • All in-state placements. • All out-of-state placements with a contract. • Students • Out-of-state placements we do not have a contract with.

  14. Who will contact - schools? Susan • Local (4j, Springfield, Bethel, EC Cares, South Lane, Albany) • Portland Area School Districts (Sherwood, Tigard/Tualatin, Beaverton, Lake Oswego, David Douglas, Gresham Barlow, Wilsonville/West Linn) • In-state placements with a contract. • Out-of-state placements with a contract. Students • Out-of-state placements that we do not currently have a contract with. • Out-of-state placements with a contract that Susan indicates you should contact. • Will discuss first. • In-state placements that Susan indicates you should contact. • Will discuss first.

  15. Application • Required by most medical and some schools. • Start building resume/cover letter(s) now. • Mostly via e-mail • letter/e-mail of intent; resume • Some require interview (in-person, phone, Skype, video) • Many sites have specific requirements – Susan will review once assignment has been confirmed (usually fall term) • Additional immunizations • Drug screening • Health insurance • CPR for Health Care Providers • Criminal Background Check • Facility-specific training (e.g., HIPAA, bloodborne pathogens, electronic medical records)

  16. Professionalism: • First impressions are critical • No typos! • Tone of email/voicemail • Be pleasant, knowledgeable, and gently persistent • Placing an extern is not an obligation or first priority – it is something done in addition to a person’s full time job • Track all contacts • Keep a log • Who you spoke to, gist of conversation and next steps • Interview etiquette • Be on time • Smile • Dress appropriately • Project confidence • Do your research • No excuse with the internet • Have questions ready you would like to ask Externship placements are an important step to a job placement!
