  4. What’s New with MI-Access?

  5. Shipments Districts will receive only one MI-Access shipment this fall.

  6. Shipment Contents • The shipment will contain all materials needed to administer the assessments, including: • Standard print booklets • Accommodated versions • Student answer documents

  7. Preprinted Pre-ID barcode labels* • 2008/2009 Coordinator and Assessment Administrator Manuals • *For students pre-identified in the OEAA Secure Site by September 12, 2008. Shipment Contents

  8. Shipment Packaging Materials will be shipped to districts, but will be packaged by school.

  9. District boxes will contain: • District packing slip • Copies of school packing slips • Security Compliance Form • 2008/2009 Coordinator and Assessment Administrator Manual Shipment Contents

Shipment Contents • District ID sheet* • MI-Access 2008/2009 calendars** • Return of Materials Packet • *The District ID sheet can be found inside the Return of Materials Packet. • *Note: An overage of calendars has been included for distribution to schools that will administer Spring 2009 MI-Access Grade 11 assessments.

  13. There will no longer be School Distribution Inventory Sheets or Assessment Booklet Security Serial Numbers documents included in the shipment. Why not? • Materials are now packaged by school • Copies of the school packing slips that districts receive include the security numbers Materials No Longer Used

  14. Materials No Longer Used Tactile graphic picture cards will not be used for Participation and Supported Independence assessments.

  15. Security Compliance Forms Security Compliance Forms (SCF) no longer are returned to the MI-Access contractor. Instead, they are to be kept on file for one year by the MI-Access District Coordinator.

  16. Pre-ID Barcode Labels Preprinted Pre-ID student answer documents will no longer be provided. Schools will receive only preprinted Pre-ID student barcode labels to affix to blank student answer documents.* *Note: The Pre-ID process must have been completed by September 12, 2008. Otherwise labels will need to be printed locally.

  17. Late Answer Documents/Missing Pre-ID Barcode Labels MI-Access materials must be shipped to the MI-Access contractor no later than December 4. All student answer documents returned for scanning and scoring must have Pre-ID student barcode labels.

  18. New Fee Schedule The state has adopted a new policy for assessing fees for late answer documents and answer documents returned for scanning and scoring without student barcode labels.

  19. New MI-Access Functions in the OEAA Secure Site All functions previously performed in the MI-Access Online System will transition to the OEAA Secure Site.

New MI-Access Functions in the OEAA Secure Site • Entering assessment administrator, student, and manual counts • Entering additional materials orders • Tracking shipments • Updating coordinator information* • *Estimated to be effective October 6, 2008. Additional details to be provided by MDE/OEAA.

  21. Additional Materials Orders Additional materials orders (AMO) may be entered in the OEAA Secure Site from September 30 - November 18. First-time counts may also be entered during this time.

  22. Additional Materials Orders • Only enter an AMO if you have already placed a first-time order and have completed inventorying materials in your shipment. You may order: • Manuals • Assessment Booklets • Accommodated versions* • *Standard-print booklets will be shipped automatically with the accommodated materials.

  24. Additional Materials Orders/First-time Counts • If you have not entered counts previously, you may enter first-time counts at the AMO screen. However, DO NOT enter counts for ancillary materials. These will be shipped to you automatically. These include: • District, School, and Teacher ID sheets • Return of Materials Packets • UPS/Return Shipment labels • Teacher Return Envelopes • Rulers

  31. Shipment Information The MI-Access shipment will arrive in districts the week of September 29. Shipments may be tracked using the OEAA Secure Site.

  34. Shipment Information MI-Access boxes will have a bright yellow fluorescent label. There will be one shipment of materials sent to districts. Materials will be packaged by school.
