  4. The Basic SSSF Annual Cycle… Head Coaches log into SHOT and renew their background check and make payments. Send out reminders to all other coaches to do the same with membership payments. Print out forms, sign and send in to National Office. Why do we do things the way we do now? SSSF Annual Starting Point – All Database Records For Payment are archived, and blanked. Coaches update all of their athlete’s records, (disciplines and classifications are most important!!) retire those that have moved on, and print out consent forms for active shooters. Have the athletes sign, and send in to the National Office. State Championships, Regional Championships, and National Championships take place. All SSSF events are managed on the system, and all audiences can watch digitally onsite or remotely. Fun Time! Leagues start, shoots start, tournaments are underway, and the season is in full swing. Update coach & athlete records when necessary. Online registration for all shoots will be available after State & National levels enter them. Scholastic Shooting Sports Foundation www.sssfonline.com

What Records Are Kept? • Athlete Scores are kept and archived • In time, this will allow for a complete archived system of records for each athlete. • Makes for easier decision making when dealing with: • Scholarships • Achievements • Certain Awards • Security: What is not public? • All Athlete Contact Information • Address • Phone Numbers • E-Mails • All contact information is kept internal via login only. • No lists of any kind are shared with anyone outside the SSSF. Your Cooperation is KEY! • If the Head Coach does not have the time, please find someone in the organization that can. • Logins do not necessarily mean they are coaches… • What is expected of our coaches when dealing with records management in the SHOT system? • Use of the system for all records management. IF you have suggestions for how to make it better, please contact us, we will discuss any and all honest and constructive comments. • Accuracy • Promptness • Responsibility • Honesty • Use the system for Shoots & Leagues • Once training is available – it is easy to use! • Ask questions…we will help! • Your athletes will love it!
