Records management has been further improved by allowing the locking of official records or documents preventing unauthorized changes regardless of the list access rights. • Drop Off Library • A method to set up one folder for users to upload files to and it will automatically route the files to the appropriate libraries and folders that you have previously setup. • Site Actions > Site Settings > Site Administration > Content Organizer Rules > New • Referencehttp://blogs.technet.com/b/speschka/archive/2009/10/30/sharepoint-2010-content-organizer-part-2-organizer-settings.aspx

  6. 2010 IUSPUG: IU SharePoint Users’ Group Document Management • DOCUMENT MANAGEMENT • There has been significant improvement in the document management capabilities in SharePoint 2010. Metadata is everywhere now even though the desired content can be searched. The new metadata capabilities allow users to tag data with words to further facilitate the finding process. SharePoint 2010 allows the ability to assign unique identifiers (UID) to documents which allows you the ability to find a document regardless of where it has been moved. Each document will have UID assigned to each item which can be located by a special URL regardless of where it may have been moved.

  14. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence • THE BUSINESS INTELLIGENCE STACK • The various Microsoft tools that allow us the ability to present important information that can improve decisions • The Microsoft Business Intelligence toolset includes many components such as data source integration using SQL Server Analysis Services and SharePoint lists, Integration tools such as Business Connectivity Services (BCS) and SQL Server Integration Services, and End-Users UI tools such as Excel, Visio, and Access and their associated SharePoint services. • BREAKING THE DOWN TECHNOLOGIES • Excel • PowerPivot • PerformancePoint Services

  15. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (Excel) • EXCEL • Microsoft Office Excel has been the tool of choice and the most recognizable instrument used when exporting and compiling ad-hoc data into spreadsheet form to create tables, graphs, and charts. • Let's examine Excel and how we use it today without any advance add-ins or services. • Generally we (End-User) export a set of data from external sources and import this data manually to manipulate the data to represent the set of important data we are interested in. We then graphically build charts, graphs (trend lines), and tables to display this data. • However how do you share this sheet with others?

  16. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (Excel) • EXCEL – Where the data reporting journey begins • However how do you share your Excel worksheet with others? • In most circumstances you either send your colleague a file server UNC (Drive mapping) or send it to them in e-mail. However what happens when the data that created this spreadsheet is updated and quickly becomes outdated? • Take this scenario…your Director, AVP, or Dean decides to review an Excel document you spent all week preparing. • Implications…This spreadsheet could decide next year's tuition costs or allocate funds (maybe licensing for your department) or a disbursement breakdown for a research grant. • The Decision…However not knowing that the dataset was updated last night. Now decisions are based on old data that you shared during last weeks meeting. • So how do you get around this road block!?

  17. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (Excel Services) • SHAREPOINT EXCEL SERVICES 2007 or 2010 • With the combination of SharePoint and Excel you gain considerable control of data publishing. Using SharePoint Excel services you are now empowered to present these spreadsheets through SharePoint web parts. Instead of sending these spreadsheets using UNC or e-mail, you now simply send them a website URL. • An Answer…Now everyone has access to the same data. • Accurate Decisions…If data is updated you simply update the spreadsheet and publish the new data to the SharePoint Excel Services web part and now those decisions being made are being made with the best and most accurate data available. • Examples • Excel Services 2007 • Excel Services 2010

  18. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (PowerPivot) • POWERPIVOT FOR EXCEL 2010 • The Office PowerPivot Client Add-in feature for Excel has significantly improved and enhanced the robustness and capability to crunch large datasets. Use slicers to choose portions of data. • Add-In • Microsoft Office Excel 2010 • Download PowerPivot for Excel 2010

  19. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (PowerPivot) • POWERPIVOT FOR SHAREPOINT • (ANALYSIS SERVICES WITH SHAREPOINT)Once the SharePoint 2010 farm Pivot technologies are enabled you are able to load the PowerPivot enabled Excel workbooks to SharePoint. The SharePoint PowerPivot System Services queries and manages PowerPivot data in Excel workbooks. The server will load PowerPivot data in the background and return the results as you select slicers. • Self-Service BI Solution • Securely display PowerPivot on the web, not need to have the client have this plug-in • Its available to anyone that has access to the web and appropriate access • Demo! • PowerPivot Gallery • PowerPivot Examples

  20. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (PPS) • DASHBOARD DESIGNER • Dashboard Designer is lightweight authoring tool/client used to build and design KPI, indicators, scorecards, report filters, data sources, and dashboards and deploy these to PerformancePoint for SharePoint consumption. If the PC has .NET Framework 3.5 SP1 then the application can be run by clicking the button on the BI pages. Most up to date Windows PC’s will have .NET 3.5 because it is the most up to date patch and security level. • The other nice feature is that when Dashboard Designer is updated, the server simply updates the version on the PC before launching. Here is a good site about Dashboard Designer - http://office.microsoft.com/en-us/dashboard-designer-help/CL010338110.aspx

  21. 2010 IUSPUG: IU SharePoint Users’ Group Business Intelligence (PPS) • PERFORMANCEPOINT SERVICES • The technology that allows us to view and create Dashboards and connect disparate information. • Dashboards contain the scorecards which contains the KPI’s and indicators Analytic Charts, Grids, Strategy Maps, and web parts containing content. • You can then filter the data source connections, drill into information, view trends.
