  3. What is AESOP? • Aesop stands for Automated Educational Substitute Operator • It is a automated placement service that incorporates Outbound and Inbound processes to secure substitutes. • Real-time reporting is available 24/7.

  4. Why Aesop? • A web based and phone based system • Greater fill rate for vacancies • Teachers can manage their absences more effectively • Works just as well for itinerant teachers • Allows for lesson plans to be attached to the absence on the web

As an Employee you can… • Create an absence • Leave notes for your substitute • Leave notes for administrator (front office or principal) • Upload lesson plans to be printed by your substitute • View your absence reason balances • View your calendar on your home page • View your schedule • Add non-work day • Change your PIN • View/manage your personal information • View absence history • View substitute phone numbers • Set-up/manage your top 5 preferred substitutes • View Quick Start User Guides and training videos

  7. How will Aesop contact Subs? • Contact starts with the Teacher’s Favorites • Then progresses to the School’s Preferred List • Next, would be all certified Subs • Then, all Subs

  8. The system then checks for Qualified and Available Substitutes… Is the substituteALREADY WORKING? Substitute’s are able to enter preferences that define where and when they want to work. They can select theirPREFERRED SCHOOLSand enterNON-WORKDAYS. The system only shows or calls them about jobs at schools and on days that they want to work. Employees can be givenSKILLSthat substituteseither MUST HAVEorSHOULD HAVEin order to see their absences. If skills are set up and a substitute does not have the correctSKILL(S), he or she will NOT be able to see or get called for that absence. Substitutes are givenvisibility throughPREFERENCE LISTS. Thereare 3 levels of preference lists in AESOP. EMPLOYEE(most visibility) SCHOOL(less visibility) DISTRICT(least visibility) Depending on which preference list a substitute is on is how the system defines who gets to see which jobs and when. This givesPREFERREDsubstitutes a better chance to get the job. Does the job fit theSUBSTITUTE’S PREFERENCES The system never ever neverDOUBLE-BOOKS a substitute. They will not be able to see jobs that overlap even a minute of time for a job they are already in on the system Does the substitute have theREQUIRED SKILLS Does the substitute haveVISIBILITY (up to 1 YEAR in advance) SYSTEM CHECKS Employee enters an absence into the system via Phone or Internet (up to 1 MONTH in advance)

  9. The absence is revealed to qualified and available substitutes…….. Substitutes thatpasssystem checks will see the absence that was entered when they go on the Internet, call in, or they can wait for Aesop call them.

OUTBOUND CALLING BEHAVIOR am Makes calls for Monday jobs only Makes calls for Tuesday jobs only Makes calls for Wednesday jobs only Makes calls for Thursday jobs only Makes calls for Friday jobs only Wednes-day Sunday Monday Tuesday Thursday Friday Saturday pm Makes calls for Monday and Tuesday jobs Makes calls for Tuesday and Wednesday jobs Makes calls for Weds. and Thursday jobs Makes calls for Thurs and Friday jobs Makes calls for Friday jobs If an absence is not already filled by proactive subs, Aesop begins calling out to your substitutes TWO DAYS prior to the start date. There are two call periods: one in the morning and one in the evening. The morning period will only call out for absences starting that same day. During the evening call period, Aesop may call about absences up to two days away. Aesop does not make any calls from Friday evening through Sunday morning, and it will never call outside of the boundaries.
