Administration and Record Keeping Process for District Directors Lay Speaking Ministries District Data Base One of the recurring requests, and again this year, is how do I keep track of all this stuff? Isn’t there a simple way? Isn’t there an easy way? The answer is yes and yes. First, Administration is hard. It takes diligence. And it only works, if it works the way you work. I began as a district director 12 years ago. And this data base, this Lay Speaking Ministries District Data Base is designed to work the way we work.One of the recurring requests, and again this year, is how do I keep track of all this stuff? Isn’t there a simple way? Isn’t there an easy way? The answer is yes and yes. First, Administration is hard. It takes diligence. And it only works, if it works the way you work. I began as a district director 12 years ago. And this data base, this Lay Speaking Ministries District Data Base is designed to work the way we work.

Hard to read so let me go around the circle: We select courses, we select instructors, we pre-register participants, we finalize registration, following the completion of the courses, we report. We communicate with lay speakers and pastors. We gather and record Annual Reports. We maintain certification history and we track ministries.This is the process as I understand it. The Classes menu takes you to the classes form which is a repository of class information and students that attend each class. Other menu items include Reports, Email lists, and Mailing Labels I said our process normally starts with Classes. So, let’s look at the classes form now.Getting right into it. The LSDDB Process Classes Select Class Instructor Registration Update at Class Record the Class Information Report Completion to Pastors, other Directors Students, Certification Updates, Ministry Tracking Reports, Lists, Emails, Labels Here’s the process we’re going to begin with: We said we would start our process with classes and the instructor. Then we begin registration, either yourself, or a registrar, or the District Secretary. They would probably do the registration on an excel spreadsheet, but it could be done on the data base. In either case, registration is normally completed at the class location. You take either the spreadsheet or your laptop and get final information, record walk-ins, collect money and mark paid. Then of course, you finalize the information and make reports, to pastors, to other district directors if you have their lay speakers in your class. We’re also going to talk about student information and reports. So let’s look at the data base.     12. Looking at Section 2, which is the heart of getting started. There are two videos, one “Getting Started” and the other “Transferring Data from an Existing Excel Spreadsheet. It’s really quite simple one you get it set up and the video sets it up. Section 2.2 in the center is where you get your files. Note that it says SAVE in capital letters.
