Our Situation We add about 127,000+ volumes per year * * Per last full year of ARL statistics (2009) • Represents physical volumes that need shelf space • Does not include HEA/LAW/Regionals • Does not include microforms • Does not include electronic resources ……. We need room for constant growth

Our Situation – part 2 • Music/Dance Library (MUS) must vacate Sullivant Hall for renovation by summer, 2011 • MUS will move to the SEL building • Both SEL and MUS must fit into existing SEL space • STX Depository is at capacity • Ohio will not build another STX module • Solution: withdraw items from STX, SEL, MUS • As volumes are withdrawn from STX, transfer more volumes from SEL and MUS to STX

Transfer and withdrawal (T&W) projects are not new at OSUL: To 2000: T&Ws were processed in Cataloging 2001: CMT created to increase T&Ws prior to Thompson renovation; STX also involved 2005: 13 “expert staff” assisting with T&Ws 2006: Coordinator for Collections’ staff added to process additional T&Ws

JSTOR PROJECT • Some transfer and withdrawal projects are easier/faster to do than others • Walden committee in 2009 recommends JSTOR as next project needed • Open meeting of August 9th affirms need to look at JSTOR titles next • Director confirms 1st priority must create space for MUS to SEL move

  6. WHAT IS JSTOR? • JSTOR = Journal Storage • Non-profit founded in 1995 • Merged with Ithaka in 2009

WHAT IS JSTOR? • Purpose = for libraries to outsource storage of print journals • Contains c. 1,000 academic journals • Uses “moving wall” for when current issues are available, generally 3-5 years • Goal = archive multiple paper copies at CRL, Harvard, and California Digital Library, in addition to online digital archive and access

  8. JSTOR AND OSUL • We donated $30K to help develop JSTOR in 1997 • We bought nine JSTOR collections at a cost of $116,575. • We pay $58K annually for online access and outsourced archiving services to JSTOR • We contribute withdrawn volumes, as needed, to CRL for JSTOR redundant print archiving

  9. Are we getting our money’s worth from JSTOR? Not if we don’t use the journal archiving services that we are already paying for

  10. Can we save much space? That depends on: • How many JSTOR titles are in 1st priority need locations (STX, SEL, MUS) • How many titles we “opt out” of withdrawing (For example, due to high graphic content.)

  11. Example of JSTOR’s Withdrawal Support Tool: How many titles can we potentially withdraw? Percent of a title's complete run (measured at the issue level) that must be held in a page-verified dark archive to be considered sufficiently close to "complete" to meet withdrawal thresholds: 90% page verified complete Number of page-verified copies of complete run of a title (at the above level of "completeness") required to meet withdrawal thresholds: 2 copies Threshold for image-to-page ratio (across a title's complete run, as a percentage) below which a title will meet withdrawal thresholds: 5% Please identify JSTOR collections in which your institution participates: YES: Arts & Sciences I, Arts & Sciences II , Arts & Sciences III, Arts & Sciences IV, Arts & Sciences V, Arts & Sciences VI , Arts & Sciences VII, Arts & Sciences VIII, Biological Sciences, Business, Business II, Ecology & Botany, Language & Literature, Life Sciences, General Sciences NO: Health, Ireland, Mathematics & Statistics, Music How many of the total set of JSTOR-digitized titles meet these criteria? 406 How many of these titles do I currently have access to through JSTOR? 406

JSTOR Math titles We have online access via JSTOR, but we may never have subscribed to all 65 math journals in print: American Journal of Mathematics 1878-2004  American Mathematical Monthly 1894-2006 Annales d'Économie et de Statistique 1986-2008 Annales de l'inséé 1970-1985 Cahiers du Séminaire d'Économétrie 1951-1985 The Annals of Mathematics 1884-2004 The Analyst 1874-1883 The Bulletin of Symbolic Logic 1995-2010 The College Mathematics Journal 1984-2006 The Two-Year College Mathematics Journal 1970-1983 Econometrica 1933-2007 Educational Studies in Mathematics 1968-2006 ……

JSTOR-related Action Items • Dracine & Russell: Develop wiki to share project documents and titles for “opt-out” review • Aaron & Nick: Review T&W training materials; recommend new training materials, as needed • Jennifer & tbd: Draft proposal for extension of OhioLINK depository loan period; Carol will present to OhioLINK • Marsha & Larry: Draft blog and ‘press releases’ to keep constituents aware of projects, 1st priority space needs, getting value from JSTOR…

Next Steps • Collection managers will be notified by email when JSTOR list is posted on wiki • All titles will be withdrawn to provide space • “Opt out” option is provided by giving a valid reason on wiki & your name • All staff/students doing withdrawals and transfers will be re-trained on JSTOR criteria • Withdrawn volumes on Regionals wiki picks list and CRL list will be shipped to them

These questions need your input… At Aug. 9th meeting, valid reasons to opt out of JSTOR withdrawal were: • High graphic content (i.e. photos, art work) • Continuing high circulation of print copy How should we handle requests to opt out that don’t fit any criteria? (Example: text only, low use, full-text available online and in outsourced print archive)

  16. These questions need your input… Per the Director, transfer and withdrawal review is the duty of library faculty who understand system-wide needs. We cannot allow title-by-title review by teaching departments. However, we want all constituents to be aware of what we’re doing, how we are addressing space needs, providing online access and remote archiving of print copies. How do we provide information and transparency while making it clear that title-by-title review is a Libraries responsibility?

  17. These questions need your input… We know some collection managers are protective of teaching faculty who they believe prefer print text, even when online text articles are available. But in a time when many locations (STX, SEL, MUS) are being asked to reduce holdings to meet reduced library sq. ft. and allow for new acquisitions, how can we most equitably spread the impact of outsourcing of print journal archiving?
