    1. 2012 Chapter of the Year Program Personalize Your Own Introduction It is STRONGLY RECOMMENDED that a copy of the Current year’s Chapter of the Year Program Guide and Score Sheet be passed out as a handout with this presentation We are Bob & Karla Greer Your International Assistant Directors for the Chapter of the Year Program We have been members since 2001 and have served on numerous operations and MEP positions at the Chapter, District and Region levels. In early October 2009, the Chapter of the Year Program was placed under the operational control of the Membership Enhancement Program. Ed & Linda Johnson, International Directors of the Membership Enhancement Program, asked us to manage this Chapter of the Year program. Our goal is to communicate better with all Regions throughout GWRRA so that they are aware of and know how easy it is to get Chapters entered into the Chapter of the Year program. History Started in 2007 to stimulate Chapters to strive for excellence within their respective District and Region Under the GWRRA Membership Enhancement Program Managed by Bob & Karla Greer, Assistant International Directors Recognition at District, Region & International The Chapter Of The Year program started in 2007 by Jim & Sherrin Hutchens, former Chapter of the Year Directors, with the original purpose - “To stimulate Chapters to strive for excellence within their respective District and Region.” The GWRRA Chapter Of The Year Program is the responsibility of the International Directors, Membership Enhancement Program and Bob & Karla manage this program for them as their Assistant International Directors. All participating Chapters submit their applications to the District Districts then select ONE winner but recognize others Region selects ONE winner but recognizes others. GWRRA selects ONE and names the 1st Runner Up Although there is only one winner per District & one winner per Region, other participants should be recognized in some manner. The level of recognition will be left up to each District & Region. The Goal now is to Get more Chapters involved in all of the GWRRA Programs and FUN activities that have been proven successful for many of the active and growing Chapters throughout GWRRA. The benefit of this program or WHAT IS IN IT FOR ME Is that your Chapter will be stronger, healthier and will grow if you participate. Even if you don’t want to participate, submit a score sheet and package, you can just use this Chapter of the Year Program as a guide to what a GWRRA Chapter should be doing. A lot of effort has gone into making this program fair to small and large Chapters alike. This DISQUALIFIER will keep one chapter within a particular District or Region from winning year after year and Discouraging other deserving Chapters from submitting packets. Basics Does the Chapter have an Assistant Chapter Director Does the Chapter have a Chapter Educator Does the Chapter provide a Newsletter to all Chapter Participants free of charge on a monthly basis Does the Chapter meet monthly at an appropriate location to promote GWRRA’s motto, “Friends for FUN, Safety, and Knowledge” Was the Chapter’s Annual Financial Report for the previous year correctly submitted on time to the District Director This is a simple little check list. A Little Extra Does the Chapter have a Chapter Mascot Does the Chapter have a Chapter Banner Does the Chapter have an up to date and current Chapter Scrap Book Did at least 30% of the Chapter Participants attend a District Convention outside their District but within their own Region (1 Point for each Convention attended up to a maximum of 3 Points.) A Little Extra To calculate the average number of Chapter Participants Collect all of the 2012 Chapter Monthly Gathering Sign-in Sheets Total the number of Chapter Participants attending each month Divide the total number by the number of regular Monthly Gatherings The number, after calculating, is the average number of Chapter Participants Visitors should not be a part of the average Chapter Participants Read Slide Answer questions Read Slide Answer questions

A Little Extra Did at least 25% of the Chapter Participants attend their Region Convention Did at least 20% of the Chapter Participants attend a Convention outside their Region (1 Point for each Convention attended outside their Region up to a maximum of 3 Points.) Did at least 15% of the Chapter Participants attend Wing Ding in 2012 Continuing on with these Little Extras that you can earn points for. READ Slide Let’s clarify “Out of your own area Conventions”. The Chapter needs at least 30% of participants to attend an “out of District” Convention to get 1 Point. You can attend up to 3 different “Out of District” Conventions to earn up to 3 Points for Out of District Conventions. The same thing goes for “Out of Region” Conventions but your Chapter only needs to have at least 20% of participants to attend these “Out of Region” Conventions to earn 1 point each or maximum of 3 Points. For example, If the CD is also the Chapter of the Year Coordinator, the Chapter can only earn 1 point and count that person in 1 place. Bonus Points Does the Chapter have a Membership Enhancement Coordinator Does the Chapter have a Chapter of the Year Coordinator Does the Chapter have a Motorist Awareness Coordinator Since we are encouraging all Chapters to Participate in the Chapter of the Year Program and get involved in more FUN activities, we are giving 2 Bonus Points if the Chapter has a Membership Enhancement Coordinator, 2 Bonus Points for the Chapter having a Chapter of the Year Coordinator and 2 Bonus Points for the Chapter having a Motorist Awareness Coordinator. Since we are encouraging all Chapters to Participate in the Chapter of the Year Program and get involved in more FUN activities, we are giving 2 Bonus Points if the Chapter has a Membership Enhancement Coordinator, 2 Bonus Points for the Chapter having a Chapter of the Year Coordinator and 2 Bonus Points for the Chapter having a Motorist Awareness Coordinator.

    16. District Convention Support Did at least 35% of the Chapter Participants attend their own District Convention We have been listening to District Directors and found an overwhelming number of them have voiced concerns about attendance at their District Conventions. It is our hope that this item will help encourage Chapter Participation to attend their own District Convention. By the way – This is a 5 pointer.     17. Event/Ride Schedule Chapter prepares an Event/Ride schedule each month and provides a copy to all Chapter Participants and the District Chapter of the Year Coordinator Point Value 1 - 2 monthly events……….1 Point per mo 3 or more monthly events…2 Points per mo Remember this Event/Ride Schedule needs to be turned in to your District Chapter Of The Year Coordinator on a monthly bases. If there is any change to the Chapter event / ride schedule an addendum schedule can be turned in with the Chapter of the Year Packet at the end of the year. Event / Ride Schedules for the current year should be submitted with the Chapter of the Year packets. Points for this category are calculated one month at a time. One month a Chapter could have 2 events and earn 1 point for that month. The next month they could have 4 events and they would earn 2 points for that month. You either get 1 point for the month or you get 2 points for the month, not both. Maximum points for this category is 24 points. If a Chapter decides to enter into the Chapter of The Year Competition after January, they certainly can but can only earn points for this area for the months they actually submit their monthly event/ride schedule to their members and the District Chapter of The Year Coordinator Remember this Event/Ride Schedule needs to be turned in to your District Chapter Of The Year Coordinator on a monthly bases. Extraordinary Chapter Events or Activities Extraordinary Chapter Events or Activities that the Chapter hosted or participated in during 2012 Examples Charitable rides or donations, Chapter awards received, Guest speakers at Gatherings, Campouts, Festive parties, Bike Shows, Toy Rides, Parades, Adopt a Family program, Cruise-in’s, visiting another GWRRA Chapter, etc… A minimum of 25% of the average number of Chapter Participants must participate Examples may be, but not limited to: Charitable rides or donations, Chapter awards received during the year, Guest speakers at Chapter gatherings, Campouts, Festive parties, Bike shows, Toy rides, Parades, Adopt a Family program, Cruise – in’s, visiting another GWRRA Chapter, etc… Don’t be modest, toot your own horn. All Extraordinary Activities must appear on your Event/Ride Schedule to count. A minimum of 25% of the average number Chapter Participants must participate in the Extraordinary Event for it to count in this category. Extraordinary Chapter events or activities listed in this category may not be listed or counted in the Planned Chapter Recruiting Activities section. Chapter Web Site Chapters that have a website and the following items are on the home/first page will be scored as follows: GWRRA logo and the words “Gold Wing Road Riders Association” or the acronym “GWRRA” Region, District, Chapter designations, plus city and state will serve to identify A link to the International, Region, and District websites Monthly Gathering meeting place and time If you have a Chapter webpage and put these items on the home/first page, you get the points.     20. Planned Chapter Recruiting Activities List the date, describe each activity and what was done to recruit and record the number of Chapter Participants attending Recruiting activities must be listed on the Event/Ride Schedule Minimum of 25% of the Chapter must participate in each planned Chapter Recruiting Activity The Recruiting Activity must be a panned by the Chapter and appear on the Ride/Event Schedule A Planned Recruiting Activity can not be counted as an Extraordinary Event. These Planned Recruiting Activities and Extraordinary events will earn you points in the Rides/Events category since they have to be listed on the schedule.     21. Chapter Couple of the Year The Chapter selects a Chapter Couple of the Year for 2012 in accordance with the Couple of the Year Manual Chapter Couple of the Year participates in the District Selection Process We are giving a Chapter points just for naming a Chapter Couple of the Year. But… If your Chapter Couple participates in the District Selection Process, they get even more points. We are giving a Chapter points just for naming a Chapter Couple of the Year.     22. Rider Education Levels Program Chapter participates are current in the GWRRA Rider Education Levels Program 0 - 24.4 % of Chapter Participants are current in Levels Program 24.5% - 49.4% of Chapter Participants are current in Levels Program 49.5% - 74.4% of Chapter Participants are current in Levels Program 75.5 - 100% of Chapter Participants are current in Levels Program Some of you may have remembered the complex and confusing calculations needed for this category in past years. This year it is simple.. If you have up to 24.4% Current in the Levels Program you get 1 point If you have between 24.5 and 49.4% Current, you get 5 points 49.5 – 74.4% 10 Points And 74.5 – 100% of all Chapter Participants current in the GWRRA Levels Program you get 15 points Participants have to be Current as of December 31, 2012 Some of you may have remembered the complex and confusing calculations needed for this category in past years. This year it is simple.. If you have up to 24.4% Current in the Levels Program you get 1 point If you have between 24.5 and 49.4% Current, you get 5 points 49.5 – 74.4% 10 Points And 74.5 – 100% of all Chapter Participants current in the GWRRA Levels Program you get 15 points Participants have to be Current as of December 31, 2012

Rider Education Seminars Does your Chapter participate in GWRRA Rider Education Seminars Co-Riders Co-Rider Two Road Captains Course Team Riding Seminar Trailering Seminar Motorcycling for the Mature Rider Motorcycle Crash Scene Response Level Up High Ride Riding With New and / or Inexperienced Riders Dealing With Different Elements Going, Going, Gone Night Riding This is a brand new category this year. Several people wanted to earn points for attending Rider Education Seminars just like they do when they attend Leadership Training Seminars. One of this programs objectives is to keep the major categories as even as possible. We don’t want a Chapter that is heavy into Rider Education have an unfair advantage of a Chapter that is heavy into Leadership Training, etc. etc. This 2012 program has a total of 263 Points divided as follows. 65 in the General category 66 in the MEC category 66 in the Rider Education category and 66 in the Leadership Training category If 25% of your average number of Chapter Participants take any of the Seminars above, they get 2 Points.This is a brand new category this year. Rider Education Motorist Awareness Seminars Chapter Participants give to a non-motorcycle group A roster must be prepared and submitted with the packet Each roster will include name of group, number of participants, place, instructor and date This is another scored area brought to you by popular demand. If one of your Chapter Participants gives a Motorist Awareness Seminar to a Non-Motorcycling group, you get 1 point up to a maximum of 5 points. You will, of course, have to provide some documentation along with your Chapter of the Year Packet. This is another scored area brought to you by popular demand.     25. Rider Education Parking Lot Practice (PLP) The Chapter participates in a Parking Lot Practice (PLP) exercise in 2012 Minimum of 25% of the Chapter must participate in the PLP for it to count in this category A list of Participants must be submitted Must be signed by the PLP Facilitator Each PLP needs to have a list of the participants (25% or more of chapter participants to count), date of PLP, and signed off by the PLP facilitator. These sheets need to be forwarded with the Chapter Packet. One question that comes up repeatedly for this category is, “What if our Chapter does an ARC or TRC? Can we count that as a PLP?” Sure, why not. But remember, 25% of your Chapter Participants must take the course. And then, of course the ARC or TRC instructor can sign off on the roster. You can still only count up to two per year for 10 points each. Each PLP needs to have a list of the participants (25% or more of chapter participants to count), date of PLP, and signed off by the PLP facilitator. These sheets need to be forwarded with the Chapter Packet. One question that comes up repeatedly for this category is, “What if our Chapter does an ARC or TRC? Can we count that as a PLP?” Sure, why not. But remember, 25% of your Chapter Participants must take the course. And then, of course the ARC or TRC instructor can sign off on the roster.     26. Written Retention Plan Chapter has a written action plan for the purpose of retaining existing Chapter Participants. Must include any and all retention activities that the Chapter Team and/or Chapter Participants are doing to retain Members Please note that this should be very specific to what the Chapter is doing to “RETAIN” current GWRRA Members This is a Retention Plan and not a Recruiting Plan. Be Specific and write down what the Chapter is doing to Retain Current Members. Ask yourself… “What does the Chapter Educator do to make members want to return?” “What does the MEC do to make members want to return?” “What does the Secretary do to make members want to return?” Etc.     27. Area Report Lists Did the Chapter contact all New and Prospective GWRRA Members when they appeared on the Monthly Area Report List 1 Point for each month if all were contacted. Count 1 point for months that your Chapter did not have any New or Prospective Members. Due to the recent priority placed on contacting all New and Prospective Members each and every month, your Chapter will earn 1 point each month that they contact 100% of all their New and Prospective Members. If your Chapter does not have anyone on the New and Prospective Members Area Report List, you automatically earn one point for that month. Hopefully, the Chapter MEC will be doing this. If your Chapter does not have a Chapter MEC, the CD can designate anyone he/she wants to. The goal is 100% contact of New and Prospective Members. Due to the recent priority placed on contacting all New and Prospective Members each and every month, your Chapter will earn 1 point each month that they contact 100% of all their New and Prospective Members. If your Chapter does not have anyone on the New and Prospective Members Area Report List, you automatically earn one point for that month. Hopefully, the Chapter MEC will be doing this.
