  2. Who can use the online A3 form? • Employees with an XXX email address can use the tool to enter in an A3 nomination form for approval. Once approved, a notification email will be sent to the initiator with a link to a printable A3 certificate and nomination form. • Managers and/or Manager’s Delegates (equally authorized) can use the tool to initiate and/or approve nominations. Tool uses same delegates that are identified for ePAF’s. Managers will also approve requests for direct reports up to $1,000. • HCM Approvers – This is the HCM Approver for a business unit – usually an HCM Generalist and the final approver.

More on delegates • Two ways a delegate can start a form: • As themselves • On behalf of a manager • When initiating a form as themselves the manager will receive the workflow routing as long as they have elected to receive routings, otherwise they won’t. • When initiating a form on behalf of a manager, the delegate is acting as the manager, and goes to the next level approver. • When approving - approvals take into consideration all the managers for whom you are the delegate. . 8/9/12

  5. A3 Nomination request The fields highlighted are required to complete the nomination form. Note: Check type defaults to regular check as this is the preferred method of A3 delivery. If separate check is requested, justification is required in the comments field. Also include effort and impact in comments field.

  6. Step 2 of the A3 Nomination request This is a sample workflow process that shows the initiator the approval path. In this case it will go to the other manager who didn’t initiate the form for approval, and then HCM for final approval. It is skipping over the directors and VP’s because the award amounts do not require higher level approvals. Once the approvals are complete, the form is fully authorized, the initiator will be notified and provided a link to print the A3 certificate(s) and nomination form(s) to present to the recipients.

  9. Manager evaluation/approval Sample of a submitted form that the manager would review and approve. The highlighted person(s) on the list indicate who the manager/approver is approving.

  11. Sample executed form Once the form is authorized, the initiator will receive an email notification with a link to the executed form. The form has links to print the certificate(s) and nomination form(s) as well as the check date which is the later of the A3 date or the calculated check date. Anticipated check date On-cycle: The regular pay check date following the A3 date or the approval date whichever is later Off-cycle: Up to tHCMee days following the A3 date or the approval date whichever is later Caution – Be sure that A3 award is presented BEFORE it shows up on employee’s regular check!
