  3. Requirements for Autumn 2010

Collection Period • Census Reference Date: 4 November 2010 • Collection period starts: 4 November 2010 • COLLECT opens for Coventry 12.00noon • Collection period ends: 10 December 2010 • Schools need to have Submitted their file in COLLECT by 19th November to allow HR to check and Approve • This is no longer the same date as for School Census • For leavers the date taken to be the Date of Leaving

Key features – who is in scope? • Staff in regular service with current contract or service agreement at Census Reference Date • (Teachers, Agency/Service Agreement Teachers, Teaching Assistants, Other Support Staff) • Staff who are no longer employed by the school/LA but who were in regular service during the previous academic year – 1 September 2009 to 31 August 2010 Regular service defined as those staff with contracts or service agreements of one month (28 days) or more

  10. Excluding Information Eligible • Workforce members and all their details can be excluded from this Census by removing the tick from Eligible for SWC in the Basic Details panel of Focus | Person | Staff.

Excluding Information Special Role • A Staff contract can be excluded from the census by adding a role of “Do Not Include in Statutory Returns” for the contract in the Employment Details panel of Focus | Person | Staff. • The other roles for the contract can be left in place but will be excluded from this Census. • Other contracts for this person will be included

Main Changes • One annual collection in the Autumn • “Optional” data items for other support staff – amended regulations to allow their collection • Temporary teacher numbers should not be submitted • NI numbers – please make every effort to provide but prefer to be left blank if don’t have one • Post and role of executive head introduced

Main Changes • Total pay – not required for teachers if pay scale, regional pay spine and spine point provided • Qualification verified no longer needs to be provided (although this is still an Ofsted requirement) • Qualification codes – expanded guidance on how to deal with other levels of qualifications • Qualification subject codes – no change – improved advice

  14. Subject Code JACS codes For a degree in English Language can return either:Q300 English Studies (Subject Code) orQ310 English Language (more detailed JACS Code) Spreadsheet available on our Website under Downloads

Main Changes – School Employed Staff • Staff “acting up” in schools – preference is for information on the acting up position • Absence collected for previous academic year – defined as 1/9/09 to 31/8/10 • Absent on census day no longer needs to be provided • Date of arrival in school – required for staff who started from 1/9/09 but don’t provide if not sure • Vacancy subject for special schools – use “not applicable” or “primary curriculum” not “SEN” • Definition of temporarily filled post – as per 618g

Main changes – school employed staff - cont • Uses DOL for deciding which workforce member to include where contract and service agreement information is not included. • Use of Employment Start date (DOA) for deciding which workforce members to include where contract and service agreement information is not included. • There are changes to DfE validation rules. • A DfE Summary report is now included. • There are changes to the Detail reports.

Some Reminders • Post of Teaching Assistant – please use rather than Support Staff • Teacher Number – please provide, without this can’t match in qualifications from the GTC • Destination/origin to be provided for leavers/starters from Sept 2009 • For on-going absences leave end date blank • For on-going sickness absences leave working days lost blank • Curriculum hours: should be recorded to 2 decimal places • Notes must be added to unresolved queries • Carry out a Dry Run
