Reports by role • MicroStrategy is used by many different divisions, departments, and offices across Mason to fulfill different business purposes. • Reports by Role • Describe a common business role at Mason, such as Budget Analyst • List frequently used MicroStrategy reports associated with that role • Intention • To allow greater information sharing about how MicroStrategy is being used • To create greater collaboration across and among university offices. • Roles and Reports documents are located under Training & Workshops:

Administrative reports – Housing & Residence life (HRL) • HRL is excited about MicroStrategy, and here are some of the reasons: We have our own department folder, for shared access • HRL Vendor Payments by FY, Org, Account, and PO • Helpful in updating our Housing Projects Plan • Monitor expected amounts to be paid against a multi-year, phased project • HRL Employee Assignments w Supervisor Name • Helpful in preparing Monthly Labor Reconciliation Reports • HRL prepares labor reconciliation by function, which sometimes has multiple orgs • This report is of enormous help when preparing the individual labor reconciliation reports for our leadership team

Filter on • On a grid report you can create a View Filter to refine your data • Select Tools, View Filter to turn on the View Filter section • To filter quickly, you can right-click on a column header and select Filter On • This moves the selected attribute to a newly created View Filter section • View Filter OR Filter On

  12. Filter on, cont. • Both View Filter and Filter On create a View Filter section • You can • Select which items you want to view or • Qualify on conditions you specify

MERGING/UNMERGING HEADERS • Many MicroStrategy attributes contain multiple forms • Example - Multiple forms of the same attribute • App Name: • First Name, Last Name, etc. • Course Sect College • BU, BUS, School of Business • Sometimes these attribute forms are “merged” into one column on the grid • You can unmerged these forms to display as multiple columns • Select the Grid menu • The highlighted icons merge column/row headers

In MicroStrategy you can modify a report and save it as a Personal View • You then “subscribe” to this view • This includes • Moving objects to the Page By • Adding a View filter • Removing objects from the Grid • This does not include • Adding new attributes, prompts, or filters to the report • BI Group maintains the original report and all updates to that report • creating personal views

  15. To create a Personal View, make the changes you need • Click on the REPORT HOME menu • Select Create Personal View • Click Home  My Subscriptions to see your Personal View • Creating personal views
