  2. Data Kudos • Managed a reset of the 2010 Child Count submission timeframe • Responded promptly to corrections requests on required data (e.g., invalid least restrictive environment codes (LRE), invalid race/ ethnicity code, etc.) • Submitted data within required timeframe

  3. Data IssuesIncorrect School Codes • Preschool students are incorrectly assigned to school code 4999. Only parentally placed private school and home school students should be assigned to 4999 . • Preschool students should be assigned to school code 0000. (*see page 4 of the Child Count Help Document).

  4. Data IssuesIncorrect School Codes (Cont’d) • Only a valid SDE issued school code may be used. • Students with disabilities who are expelled/receiving services should be assigned to the school in which they are zoned.

  5. Data IssuesIncorrect Least Restrictive Env. Codes • The LRE code in the Student Folder does not match the current IEP. The Student folder is not being consistently updated. • Invalid LRE codes 2, 12, 13, and 15 have not been updated in the Student Folder to reflect the current IEP selection.

  6. Data IssuesValidating Data • Data submitted through the State Reports, District Approved process is not consistently reviewed for accuracy. Preview Data and Review Data should always be compared for consistency and accuracy after selecting District Approved. Inaccuracies should be promptly reported to Special Education Services.

  7. New State ReportsStudent Exiting Report • The Child Count date in STISETS must be set to 10/01/2010. The Child Count date should be changed yearly on or after July 1 (after the end of the school year). • The date range for report submission is 7/1/10 to 6/30/11.

New State ReportsStudent Exiting Report (Cont’d) For each exiting student: • All data for this report must be entered into the STISETS Student Folder. • All three exiting data fields in the Student Folder – Exited Spec Ed, Exited From Special Ed Program, and Exiting Exceptionality – must be completed in order for the student to appear on the Student Exiting Report.

  9. New State ReportsStudent Exiting Report (Cont’d) • All students listed on the report display an Exiting Exceptionality. For students that exited between July 1, 2010, and February 16, 2011, an exceptionality must be manually entered in the Exiting Exceptionality field in the Student Folder. Directions for performing a query to identify the inactive or archived student files requiring a manual entry are provided on page 7 in the Annual Data Report Help Document.

New State ReportsStudent Exiting Report (Cont’d) • Only students ages 14 to 21 years (age as of October 1, 2010) are included on the Student Exiting report. • Only students age 21 years on or before October 1 may be reported as “Reached Maximum Age”. Exiting students ages 14-20 years must be reported in another exiting category.

New State ReportsStudent Exiting Report (Cont’d) • Out-of-State Transfers: Students who transfer into the public agency from out-of-state and are provided comparable services, but are determined not eligible for services after completion of an initial evaluation should be exited as Transferred to Regular Education.

New State ReportsStudent Exiting Report (Cont’d) • Prior to submission, select Preview Data and review the report to determine if any data is inaccurate (e.g., A 16 year old student graduating with a regular or advanced diploma). The SDE will complete an additional review for inaccurate data after the final submission date of June 3, 2011.

  13. New State ReportsSupplemental Data Report • The Supplemental Data Report information may be entered in either one of two areas in STISETS. Directions to these areas, and the data requirements are listed on page 11 of the Annual Data Report Help Document. • No date range should be entered for report submission.

  14. Personnel Data Report • The Personnel Data Report will be submitted again through the SDE web application for 2011. It is not currently reported through the District Approved process in STISETS. • The web application will open for submissions on May 23, and will close on June 3.

  15. Personnel Data Report (Cont’d) • The system’s username and password to acquire access to the web application is the same as that used in past year’s submissions. If you have forgotten either one, you must contact the Data Collection Helpdesk at 334- 353-1250 for assistance.
