  3. Timeline Overview • The calendar for the 2009 cycle has changed. • You maintain your own program information. • No mailing delay or lost faxes - instantaneous transmission of forms and files

  4. Class of 2009 – CASPR Cycle • Begins March 2008 • All aspects of CASPR/CRIP process completed on line: • Contact information • Hospital description • Receipt of applicant materials • Selection of interviewees • Ranking of applicants • Receipt of Match results, etc

  5. Getting Started • Login information e-mailed to all approved CPME program directors March 3, 2008. • Each institution will receive one user name and password

  6. Registration Form • Update Director and Hospital information

  7. Update Directory Page • Update Current information • Forms will look very similar to current forms. • Updates can be made throughout the year

  8. Institutional Agreement • Print off form • Director and Administrator both sign • Either scan and upload, fax or mail form to CASPR. • Will be checked off as complete when received in the CASPR office.

  9. Fees Forms of payment: • Credit card payment online. • Check • Wire transfer PLEASE NOTE: Fees must be received before registration is complete.

  10. New Fee Structure… CASPR Fees $450.00 COTH Membership $500.00 $950.00

  11. Possible Additional Fees Hard copy of applicant files. Additional Cost: $100

  12. Possible Additional Fees Separate Directory pages Additional Cost: $250/page

  13. 2009 CASPR Directory June 1, 2008 - Initial program registration ends • Participation requires submission of all forms and fees. • June 1st is a HARD deadline, no exceptions.

  14. 2009 CASPR Directory June 6, 2008 - Directory will be published online

  15. 2009 CASPR Directory No Supplemental Directory • Programs completing registration materials and payment after June 1 will be added to the Directory and Designation Forms on a monthly basis. • Programs will be dated to signify addition after original “publication”.

  16. Meet the June 1st Deadline! • Extremely important to have your program listed when students start to designate on June 6! • Late programs will be added on a monthly basis.

  17. New Look for the Online Directory • See more information at a glance • Sort on columns • Date Posted tracks when a program was added

  18. Student Applications • Applicants fill out all forms online • Colleges upload transcripts and clinicals • Photos, letters of recommendation uploaded to file • Limited additional program required materials [CVs, research papers, etc.]

  19. Designations • For a single fee, applicants can designate up to 15 programs. • Allows more designations for lower cost to students! • Encourages more designations! • More than 15 designations is an additional charge. • Programs can view a running total from first designation until October.

  20. Initial Designation Deadline • October 10 – deadline for initial designations. • October 17 – completed Applicant files are available to view or download by designated programs

  21. No Late Add Penalty… • Applicants can continue to designate programs until December 29, no late add fees. • Completed applicant files are available to programs electronically as completed.

  22. Supplemental Materials • Additional documents can be uploaded into applicant files, such as a CV or Part II Board Scores. • Program fees will continue to be sent directly to the programs. • A field will be available online to let applicants know that their file is complete.

  23. Supplemental Materials • COTH encourages programs to discontinue program fees • 65% of programs no longer require fees • Fees discourage application

  24. Viewing Applicant Files • Optional download of raw applicant data available. • After downloading, institutionally specific fields, ie Selection Committee Review status, recommendations or notes, additional materials received, etc, can be added.

  25. Hard Copies • For an additional fee, programs will be able to request to receive hard copies of their applicant files. • Files will be SHIPPED by ground on October 17, 2008. • Any additional applications after the October 10 deadline will be available digitally ONLY.

  26. CRIP Interview Lists • A checklist to indicate applicants granted interviews will be available at the same time as access to the applicant files. • Deadline is November 24th. • Once submitted, programs can continue to add students to the list but CANNOT remove them. • Applicants can view which programs have granted an interview to them.

  27. CRIP Forms • Interview Scheduling Questionnaires and Accommodation Request forms available on-line October 1st, 2008. • The forms are very similar to the ones from this year. CRIP staff will continue to make hotel arrangements for your faculty

CRIP Interview Schedules • Interview blocks are set up automatically based on the parameters you enter. • A skeletal grid will be displayed for your review. • Parameters can be modified if grid does not reflect your desired plans • As students schedule, programs can review their time blocks and see what is filled.

  29. Ranking • Ranking opens January 26, 2009. • Changes can be made up until the deadline of 11:59 pm eastern, February 17, 2009. • No changes in ranking after this deadline! • Unfilled Positions Parameters must be completed at this time.

  30. Match • Match results available on line March 9, 2009. • CASPR will mail a hard copy by first class to the programs and applicants for the 2009 cycle, as well. • Applicant files will only remain available via the web until March 31, 2009

  31. Unfilled Positions • Programs enter protocol for unfilled positions with selection submission. • Updates and changes can be made at any time. • Programs will be able to mark positions as filled. • Programs will be able to list any advanced positions they have available.

  32. Web-Based Advantages • Maintain updated program information throughout cycle • Receive alerts for approaching deadlines, applicant modifications • Instantly delivery of information to CASPR

  33. Web-Based Advantages • Possible to easily add applicants throughout cycle • Downloaded applicant data can fit on a flash drive • Each Selection Committee member able to view applications at the same time • Track CRIP scheduling process, print draft schedule • Instant Match notification

Program Responsibilities • Completion of ALL registration materials by deadline • Confidentiality and security of information and password • Attention to calendar and final deadlines • Regular monitoring of program site for status, updates and reminders • Appropriate disposal of applicant materials

Stepping Into the Future • Staff is only a phone call or email away; stand ready to assist • CASPRweb will simplify the process • Allows more flexibility and extended time periods for applicants • Will require some adjustments for all, including patience • Communicate with us and enjoy the benefits of the new process
