PreCode Reports Created to give you advance notice of the students who are precoded for the various assessments. These reports are an opportunity to identify students who need to be excused from a test, moved to another test or have a hand-gridded form prepared. The reports can also be used for Routing School students and PreGED/Skills students to determine the school where their results should be sent back to for accountability.
Coding on Answer Documents The information your schools provide on the answer documents can have significant affects on their SPS and AYP. Especially important is the coding of accountability data, both accountability codes and routing codes (for students at alternative schools). It is also important to properly code student data (id, name, DOB and gender) when hand gridding an answer document. These data are used in matching the student’s test to SIS enrollment and web History.

Accountability Cleanup There are three cleanup reports that each school might need to work. Like last year, all cleanup will be done through web-based applications. The Impending Zero Report, the Invalid State Id/DOB Report and the Routing reports are pretty much the same as they were last year. The web application will have some changes, but the content and purpose of the reports remain the same.
Accountability Cleanup The Impending Zero Report This report contains the names of students for which the precode document was not returned, a document with an unexcused absence was returned or a document with an invalid accountability code was returned. Any of these situations that are not cleaned up will result in a zero being assigned to the school for its SPS.
Accountability Cleanup The Invalid State Id or DOB Report This report contains the names of students for which a document with an invalid State Id or Date of Birth (DOB) was returned. These 2 fields (along with the student’s first and last name and gender) are critical for the various matches done by the test vendors and the State. Matching records is very important both for your SPS and for subgroup reporting requirements of NCLB.
Accountability Cleanup The Routing Reports These reports contain the names of students whose scores are or should be routed back to a home-based school. Primarily this includes the students at Option 1 (or Routing) Schools, but may also include students in the Options program (PreGED or Skills curriculum). Use this report to verify or correct the site code of the student’s home-based school.

Accountability Test Reports Created to give you notice of the students from the various assessments who are included in each school’s SPS. These reports are an opportunity to identify student records that need to be excluded from the school’s final SPS or moved to another school’s results during appeals. The reports can also be used for checking the SPS calculations. We will be working to move the release of these reports up to early August this year.
