  2. Goals of CSAW Training Power Point • Inform users of the organization and navigation in CSAW. • Inform users how icons, action buttons, searches, error messages, required fields, etc. display and function in CSAW. • Inform users of the new Rate Type on the Provider Rates and Ages Served page.

  3. CSAW Navigation ~ Menu • The navigation menu gives the user easy access to the various provider screens. • Links will be activated based on the Provider and/or Location selected. • The links on the menu will be activated for the selected provider/location until either the Search or Create Provider link is selected.

  5. CSAW Navigation ~ Icons • Modify - Click on the pencil icon to go to the modify page. • View - Click on the magnifying glass icon to view the selected page. • Delete - Click on the trashcan icon to go to the delete page. • History - Click on the scroll icon to go to the history page.

  6. CSAW Navigation ~ Icons • Calendar - This icon appears next to date fields. • Click the icon to bring up the calendar. Select the desired date, or use the arrows to navigate to the desired month and year. • Right-click in the date box to bring up a list of shortcut keys that can be selected to simplify entering the date. • Or enter the shortcut key directly in the date box. For example, entering the letter ‘t’ in the date box automatically fills in today’s date. • Or simply enter the desired date in mm/dd/yyyy format in the date box.

CSAW Navigation ~ Buttons • Help - Click on this button to go to the detailed help screen for the page you are on. • Logout - Click on this button to logout of CSAW. • Action Buttons - appear on pages where the user has access to perform the action listed. The user must click on the action button in order to save the entered data.

  8. Logging on to CSAW Your DWD/Wisconsin logon user ID and password should be used to access CSAW. The logon is the same as your BST, CCPI or CCPC logon ID.

  9. CSAW Home Page CLIC discrepancy management - used by state staff. This will be activated on 10/18/04. Click here for detailed user help. Select an option under Provider Management to begin working with a provider in CSAW.

  10. Links directly to CCPI and CCPC are available to authorized users. To return to where you were in CSAW from CCPI or CCPC, use the browser Back button. Select this link to create a certified provider in CCPC Select this link to create an out-of-state or unregulated or public school provider. This link is also used to create licensed providers until 10/18/04. After that date, licensed provider data will come from CLIC. Create New Provider Selection

  11. These fields are required. Fields that are bolded and have an asterisk (*) next to them must be entered. Enter New Provider Details

  12. Convert Button - This button only appears when the provider exists on CCPC but not on CSAW. Select Convert to establish the provider in CSAW and continue. Any possible provider matches will be listed in this section. Choose the appropriate action to continue. New Provider Clearance Results

  13. The Tax ID Verification Switch will change from “V” to “W” indicating SSN re-verification is needed if the Provider name, Date of Birth, or SSN change, or if a FEIN is changed to a SSN. Tax ID Verification Switch must be checked to create authorizations. The switch should only be checked if the data has been documented with a W-9 form. This will display as “W” after it has been checked to indicate worker verification. After the SSN is verified by the Social Security Administration it will display as “V”. After entering the information, click Add to save the data and be taken to the Provider Location page. Provider Details Provider level details pertain to all locations for the provider. The address that was entered on screen CCWN is no longer used.

  14. Select this icon to view history for this Provider Location. Provider Location Location level details are specific to a location. The Provider Location page allows the user to maintain the location details for the provider. Once the location has been linked to CCPC, the address fields will be updateable by state staff only. If the location was converted from CLIC, the address fields will not be updateable through CSAW.

  15. Press ‘Add’ to save the location details, and be taken to the Add Category page. If the Provider Location page is accessed again after initial entry, the EFT switch will be shown as either Yes or No. It will display after the Payee Name. Provider Location… Continued

  16. Select the search method, and enter any one or a combination of fields in this section as search criteria. Select ‘Starts With’ to find providers that begin with the entered criteria. Example: entering ‘Sun’ will match with ‘Sunshine Daycare’, ‘Sun Center’, ‘Sun Prairie’, etc. When using the ‘Sounds Like’ search, the system will generate a number based on the entered information and attempt to match to other providers using that generated number. When using a ‘Sounds Like’ search on the individual name, both first and last name must be entered. Select ‘Exact’ to see only results that match exactly what criteria is entered. Criteria entered in this section must match exactly as entered. (Provider Number must be entered to search by Location Number) Search for an Existing Provider • To get a result on a provider search, at least one location must have been previously created for that provider.

  17. If an error is found in a field, a message will appear and the field will be highlighted. The error must be corrected before you can continue. Or you can click on another link and go to that page without saving the entered data. This is similar to PF12 on the mainframe. Search for an Existing Provider

  18. A list of possible providers and locations will be returned, if any are found. Select the provider number to go to the Provider Details page. Select the location number to go to the Provider Location Detail page. Provider Search Results Selection

  19. These pages can also be reached by the links on the menu. Add a new location by selecting the New Location link. To modify the location details, click the pencil icon. The Location Summary page provides links to several other pages where information for the location can be viewed or maintained. Location Summary

  20. Or enter comments relating to an existing subsidy comment by selecting the modify icon next to the comment. The new, related comment will have the same Group number as the selected comment. This allows related comments to be grouped together. Select the type of comment from the dropdown to view only that type. Comments will be listed by type, group number, and date entered. Provider Comments • There are three types of comments. • Subsidy comments are entered through the CSAW system by subsidy workers. • Certification comments are displayed in the CSAW system, but are entered in CCPC for Certified Provider Locations (functionality available after later). • Licensing comments are displayed in the CSAW system, but are collected from the interface with the CLIC (Children’s Licensing Information Computer) system. Add new subsidy comments here. The system will enter the effective date and worker ID.

  21. Click the icons to Modify, Delete, or View the History for each category. Next, we’ll look at these two screens. Selecting the New Category link will take the user to the New Category page where they can choose to enter a Certified Category (will link to CCPC) or create an Out-of-State, Unregulated, or Public School Category in CSAW. Category Summary The Category Summary page provides links to several other pages where information for the selected Category can be viewed or maintained. These links will be enabled or disabled based on the provider categories found and may include Rates & Ages Served, Accreditation, Age Restrictions, and/or Serving Relatives Only.

  22. Enter an ‘As of Date’ to see a list of Rates and Ages Served where the Begin Date is prior or equal to the date entered. Provider Rates and Ages Served • Rates and Ages Served information is entered for each Licensed Category of a provider location for the different age groups and effective periods. • Two types of Provider Rates: • Regular Rates - This is the rate that is currently collected. It is the fulltime rate. For a provider to have a Regular or Zero Hour authorization, the regular rate must be entered for that provider location. • Before and After School Rates - This is a weekly rate. For a provider to have a Before and After School authorization, there must be a Before and After School Rate for that provider location. Rates for the upcoming school year should be entered this summer. In the future, Auth Workers will need to select a rate type in order to authorize. Until then, the Regular Rate will be used to calculate authorizations. Begin entering B/A School Rates so that they can be used for future school age authorizations.

  23. Click on the Updated Date link to view the Updated Information screen. This link is available on many pages throughout CSAW. Provider Accreditation Accreditations can be viewed in CSAW. Effective 8/30/04, only state staff will enter or update the Accreditations. Please contact Child Care Section staff if you receive information that is different from that displayed on this screen for a provider.

  24. Use the browser Back button to return to the page that you came from. Updated Information Screen The Updated Information screen shows the last updated date and who made the changes.

  25. Provider Check Intercept/Withholding Information This page is used by state staff only to enter an alternate address in order to facilitate withholding issuance to a provider. Issuance is withheld due to IRS, Dept of Revenue, or Child Support orders.

  26. Double-click (or Right-click, Open) on the Display icon to bring up the Display Properties window. To change the resolution, go to Start, Settings, Control Panel. Setting monitor resolution for best viewing of CSAW For best viewing of CSAW and to reduce screen scrolling, it is recommended to set your monitor resolution at 1024 x 768.

  27. Setting monitor resolution for best viewing of CSAW • In the Display Properties window, select the Settings tab. • Slide the Screen area bar to 1024 x 768 pixels. • Select Apply and OK to accept the new settings. If you get a message asking if you want to keep the settings, click Yes.

  28. To move forward between items on a web page, (fields, icons, address bar, menu links, buttons) use the Tab key. To move back to the previous item, use the Shift and Tab keys together. Fields will be highlighted either with an outlined gray box around the link or button, or by a blue background when the cursor is on that field. You will not be able to tab to links that are not active. To select a checkbox item, first Tab to the item you wish to choose, then press the Spacebar to check the box. With checkboxes you can select one or more items from the list. To select a Radio Button item, either Tab to the selection you want and press the Spacebar, or use the arrow keys to move from one selection to the next. With Radio Buttons, only one item may be selected at a time. Example: To select an item from a Dropdown List, first Tab to that field, then use the up and down arrow keys to scroll through the list to find the selection you want. You can also type in the first letter of the selection that you are looking for, to be taken to that section of the list. When the option you want is shown, Tab to continue on to the next field. To select a hyperlink, icon, or a button, Tab to the desired link or button and press enter to take that action. Keyboard Navigation of CSAW There are several shortcut keys that can be used to navigate CSAW by using the keyboard instead of a mouse. To return to the previous page, use Alt + Left Arrow. To go to the next page, use Alt + Right Arrow (equivalent to the browser Back and Next buttons). Use the Up & Down Arrow keys, or the Page Up & Page Down keys, to scroll a long page.

  29. Security Access Information CSAW Users - You need to have a DWD/Wisconsin Logon set up. Your agency will have to complete a spreadsheet requesting that you get the same access to CSAW that you currently have to CCPS. The security related spreadsheet must be submitted to DWS Security by August 18th in order to ensure that you will have access to CSAW on August 30th. Please note that CCPS mainframe screens will no longer be available on August 30th. The screens affected are listed in Ops Memo 04-37. Among those screens affected are: CCRA, CCPU, CCPE, CCPD, etc. If you need different security access, please complete a new security form.
