The more that we can find and address now the smoother it will be when we go live July 1st , 2013. Please e-mail any issues, concerns, and/or suggestions. Student End of Year Pilot Phase I • Bugs/Enhancements found and reported • Internal flags are not being set correctly • Minor problem on primary school flag • Working on snapshot criteria (Summer dropouts) • Not a lot of districts are participating in pilot • On the bright side • Districts are loading student interchange • Districts are creating snapshots • Majority of the system is working properly 13

District Exchange of Data Four types of data (Town Hall) Discipline (May 9th) English Language Learner (May 16th) IEP (May 23rd) Assessment/Growth (June 6th) Obtained opinion from Attorney General’s office Districts must include notice to parents through enrollment process Data may be shared if student enrolls in another district Purpose is to alert receiving district Contact other district Determine details of information presented Initiated by student transfer SASID must match Not detention center related Accessibility E-mail alerts- 30 days to retrieve file District assigned individuals may access CDE can generate after purged, but cannot access

  27. Special Education Demographic Data Source

Source for Special Education Demographic Data • District will remain primary source of demographic data for students in special education • Pipeline goal: one record of validated student demographic data for ALL students • One exception: primary source of Primary Disability field will be the IEP Interchange • Advantages and tools of Pipeline will allow for data clean up

Source for Special Education Demographic Data • Discrepancy reports at the Interchange level will be accessible within Pipeline for both AU and District to view or extract • Report will display differences between Student Interchange and IEP Interchange demographic data fields • Warnings will also generate • Earlier submission capability (Sept. 1st) means discrepancies can be resolved way in advance of December Count Snapshot deadlines

  30. BOCES and Districts • Discrepancy reports available to extract at a BOCES level within Pipeline, in addition to district level. • If discrepancies are not resolved by Student October, districts and AUs must then scrub these data for December Count in a timely manner, due to the AU’s being accountable for the validity and timeliness of it. -Data Services trainings must include guidance for this *New procedures for this process will need to be implemented*
