What is CIMS? • National Register of Electors (Voters List) from Elections Canada • Membership List • 308 Poll Key • National survey results • Identified supporters from previous elections • Local survey results (incl. 10%’ers) • Event attendance • Constituency phone bank results • Door knock results • Election day “bingo” sheets • Donor records

What is CIMS? • Elections Canada National Register of Electors is updated every October 15 • List contains 22.5 million active electors • Updates come from: • Taxation records – 18,000,000 • Citizenship – 125,000 • Drivers Licenses – 15,000,000 • Deaths – 195,000 • Provincial Electoral Agencies – 7,000,000

  7. 3. What is CIMS? • Custom written application that is installed on all computers • Riding and Campaign offices connect through the Internet using a VPN client • Party Staff, MP’s, Senators connect through the Internet using a Terminal Server client

  8. 3. What is CIMS? • Multiple computers that are Quad Xeon Processor, GB NIC • 32 GB RAM • 50+ Hard Drives totalling 3 TB • Primary ATM Internet connection • 5 Mbps burstable to 50 Mbps • Max of 135 Mbps or 52,428,800 bps or 3,640,888 14.4 modems • Backup OC3 (~T3) connection

  9. 3. What is CIMS? • Stringent controls on who has access to the data • Continual monitoring of all use • Highest level of firewalls to secure the server • Powerful Virtual Private Network (VPN) to protect data as it travels through the Internet

  10. 4. What does CIMS look like? • Main screen in CIMS is called the Dashboard • Contains links across the top for common functions • Has menus for other areas of CIMS • Has two pie charts that show the levels of Current and Lifetime Supporters

What does CIMS look like? • Constituent Details screen contains information about each person in the voters list • First Name, Middle Name, Last Name, Nicknames • Riding and Poll • Current and Lifetime Support levels • Addresses, phone numbers and e-mail addresses • Membership and Accounting details • Communications Preferences • “Do Not” lists

  12. 5. What are support levels? • CIMS follows more than just members or non-members • Tracks Supporters, Non-Supporters and Undecided

  13. 6. Walk and Phone Lists • CIMS has tools to print off lists for your canvassers • Each sheet contains the name, address and support level of each constituent • Sheet has a location for entering information gained from the house • Information is then scanned back into CIMS

  14. 6. Walk and Phone Lists • CIMS can print off Phone Lists and Phone Sheets • A Phone List is a list of phone numbers with name, address and limited space for notes • A Phone Sheet is one phone number on a page with name, address and lots of room for notes

Mail and E-Mail • Householding • e-mail when sharing e-mail addresses • mail when people with the same last name are at the same mailing address • CIMS is connected to an e-mail server that allows it to instantly send messages • Preformatted mailing labels • Mail merge with Word for personalised correspondence

  16. 8. Scanning • All reports that come out of CIMS have a barcode • The barcoding makes for fast and accurate data entry • Any barcode scanner will work as long as it is ‘Code 39’ compliant

Lawn Signs • Creates lists of outstanding lawn signs for installation and repair • Crews can install lawn signs and then report back to the office which are completed • Location Report at end of campaign for a complete list of all signs • People with lawn signs can be contacted again the next year
