You have been identified as an Authorised Person As an Authorised Person, you are responsible for acting on behalf of [company name] in the event there is a medical or security/safety emergency involving an employee. International SOS must be able to contact one of our Authorised Persons at all times. To do so, International SOS is provided with your 24-hour contact information.

  5. Your role as an Authorised Person When an employee calls International SOS, a case is opened in the assistance centre. Sometimes, company authorisation may be needed before an employee can receive services. An Authorised Person is alwayscalled for financial authorisationprior to International SOSperforming a billable service. An Authorised Person will only becalled after business hours ifthere is an urgent need for yourdirection and/or authorisation.

  6. Your role in a medical or security case • You will be contacted by International SOS for all medical care requiring financial authorisation • You will review the recommendation and authorise International SOS to proceed • Should you be unavailable, ensure there is a backup plan and another individual for International SOS to contact.If an Authorised Person cannot be contacted and the condition of the patient warrants immediate care to sustain life, International SOS will provide services as needed, without prior authorisation

  7. Services that may require your approval • Medical evacuation or repatriation • Companion ticket • Additional travel and accommodation • Repatriation of mortal remains • In-patient admission and identification of receiving physician • In-patient medical expense guarantee and payment • Out-patient medical expense guarantee and payment • Dispatch of medication and medical supplies • Ground transportation for accompanying family members • Advance of emergency personal cash

When and how will International SOS contact you? • During a medical incident or travel assistance-related incident: • Initial contact will be made within 24 hours via your preferred means of communication • Any urgent request will be made by phone • You will receive regular updates • Incident-related costs will be monitored and communicated to you on an ongoing basis

  9. Can an Authorised Person initiate a case? YES. An Authorised Person can call International SOS 24/7/365 to inform them of a case or situation involving an employee. Be ready to provide the following information: • Name of the employee requiring assistance • Location of the employee • Details about the current situation • Contact numbers for the employee or family member • The employee’s nationality or home country • Name and contact numbers for the treating physician • Name and contact numbers for the local hospital • Name and contact numbers for local corporate personnel with patient

Evacuations and Repatriations An evacuation may be recommended if: • The patient has a serious medical condition and local medical facilities are inadequate • The patient requires follow-up medical care in his/her home country and will need medical assistance for his/her trip home • An International SOS physician consults with the treating doctor to determine the patient’s medical condition • International SOS evaluates the options and decides on the best course of action • International SOS will contact an Authorised Person to advise us of the recommendations and obtain financial authorisation if required

  11. Evacuations and Repatriations (cont.) If an evacuation or repatriation is needed an Authorised Person will always be contacted to… • Confirm whether the patient is a covered employee • Authorise transportation costs • Authorise medical expenses, hoteland travel costs for travelcompanion • Be kept informed of the Plan ofAction (POA) • Establish clear communicationprotocols throughout the case

  12. Evacuations and Repatriations (cont.) International SOS will provide the following information: • Destination of the nearest appropriate care facility • Mode of transportation required • Medical team and equipment required to safely transport the patient • When the evacuation or repatriation should occur • Estimated cost International SOS further assists with: • Assisting with the patient’s official documents (passport, exit documents, taxes etc.) • Notifying the Authorised Person of the complete evacuation schedule

  13. What if it’s not an emergency? If an employee contacts International SOS for a non-emergency situation, an Authorised Person may still be contacted to be informed of the case. This can be either via phone or email. Dear ABC Company Team: Please be advised of the following new case for an ABC Company Employee: Employee Name: Jonathan DAO Employee DOB: 2/14/76 Employee Location: Frankfurt, Germany Mr. DAO contacted our office today advising he had been suffering with generalized flu-like symptoms. He has spoken to a member of our medical team and been provided a referral for a nearby facility to be evaluated and obtain any necessary medications. We will follow-up with Mr. DAO tomorrow to confirm he was able to be seen and requires no further assistance. Should you have any questions or concerns, please do not hesitate to contact us.
