  1. Records Warehousing Walkthrough. A step by step guide for sending files to the warehouse.

  2. Are you ready? • Have you gathered all information in the correct boxes? • Are your boxes Numbered? • This step can be held until the Records Transfer Form is being completed. • Is a description of the contents on the out side of each box? • The GS1-SL description can be used as well. • Is the information within going to be requested frequently? • If so, internal retention may be best as warehouse visits can be days or weeks apart.

  3. GS1-SL • The GS1-SL is what we use to determine the retention time. • The form can be found HERE . • Find the description which best matches your files and list the item number. • “No.” is GS1-SL

  4. Creating the Records Transfer Request (RTR) form. • Locate the RTR Form • Found Here. • Read the information on the form to be sure you have everything ready to be shipped.

  5. Filling out the form. • If you read the form this part is simple.

  6. What’s in the box? • Add each item, 1 box per line.

  7. Boxes • Be sure to use a sturdy box for your records. • Bankers Boxes work best. • Make certain the contents in the box matches the paperwork as well as the number on the paperwork matches the box number.

  8. Ready to send? Once you have your boxes and paperwork ready, pony the master copy to Records Retention @ I&T. After the paperwork is received a request is sent to the central warehouse who will pick the boxes up.
