  1. UCIST Student Email Ad Hoc groupUpdate to UCIST – 28 April 2006 Andrea Chappell, IST

  2. Agenda • Terminology • Current email design • Review of objectives • The extended group meeting • Questions

  3. Terminology • Email account • Provide email services (mail server, space for email and folders, etc.). • System account • Provides computing services (software access, disk space, access to data, etc.). Email and system accounts may be one and the same, or different! • UWdir account • Provides an entry in the UW directory to store info such as name, office, phone, email, web.

  4. Current Design • Email accounts are created by Faculties. • Overall process: • OUAC addresses to SA; • Students register, asked to update UWdir; • Faculties create email accounts in month before term (varies!), and add (no clobber); • SA fills in empty fields 30 days into term. • Last step delay due to Math/Eng requests; allows Faculty accounts precedence over SA.

  5. Current Design UWdir entry and email redirection As per previous slide, UWdir may contain UW address (istudent@fes) or other (cutie@hotmail). UWdir email entry to fes: fes name: Student, Ima email:istudent@fes.uwaterloo.ca uwuserid: istudent Email to istudent@uwaterloo.ca goes to istudent@fes.uwaterloo.ca

  6. Current Design UWdir entry and email redirection UWdir email entry to hotmail: hotmail name: Student, Ima email:cutie@hotmail.ca uwuserid: istudent UWdir email entry to fes; .forward on fes to hotmail: fes name: Student, Ima email:istudent@fes.uwaterloo.ca uwuserid: istudent hotmail .forward: cutie@hotmail.ca Email to istudent@uwaterloo.ca goes to cutie@hotmail.ca

  7. Review of Objectives • Near term • Statement: Campus email accounts will be used for all official university email exchanges (to and from student). • Objective: Resolve barriers … • Examples: Common timelines, disk space, facilities to manage (web), bounces, tracking, forwarding from Faculty email account (not UWdir), …

  8. Repercussion of Objective UWdir entry and email redirection changes UWdir email entry to fes: fes name: Student, Ima email:istudent@fes.uwaterloo.ca uwuserid: istudent UWdir email entry to fes; .forward on fes to hotmail: fes name: Student, Ima email:istudent@fes.uwaterloo.ca uwuserid: istudent hotmail .forward: cutie@hotmail.ca UWdir email entry to hotmail: hotmail name: Student, Ima email:cutie@hotmail.ca uwuserid: istudent

  9. Review of Objectives • Longer term objectives • Identify perceived needs of various groups. • Present possible solution scenarios. • Examples: Personal “handles”, larger inbox space, enhanced web interface, retaining after graduation, …

  10. Extended Group Meeting(with apologies sent to Bruce Campbell!) • Overview of history • Overview of small group findings • Overview of objectives

  11. Email acct versus UWdir “forwarding” “Should” versus “Will” Student input and education “blitz” Classlists – many sources, email incl. Trellis stores emails ANGEL email – distinguish differences Email to hotmail; likely reply from hotmail Planning dept profs – no off-site email Lots of processes: nexus, UWdir update delay, “missing” email accounts, … Extended Group Meeting: Topics Raised
