Presentation Title Presentation Title • INTRODUCTION TO KEY TERMS • PRODUCT SCOPE: these are the features the product is expected to have on completion, it is included in the business case for the product or contract. • PROJECT SCOPE: these are the activities carried out by the project team to deliver the product scope. It includes both tangible and intangible deliverables. • STAKEHOLDERS: any person, group of persons or organizations impacted by the outcome of your project. These stakeholders may be internal or external, major or minor. • PROJECT CONSTRAINT TRIANGLE: this triangle models the extremes to which projects are being managed. These are Cost, Scope and Time. • GOLD PLATING: this is the act of adding to the previously agreed scope, with the hope of impressing the client, without following due process.

WHY DOES PROJECTS SUFFER FROM SCOPE CHALLENGES? • HAZY PRODUCT SCOPE: Project proponents just wants to build products, they do not have the patience to dwell on what goes into it, what interest them is the need identified and how to immediately address it. • CONSTANT PRODUCT SCOPE REVISION: Product scope in most projects changes constantly based differing factors which may be internally or externally motivated. • PROJECT SCOPE RESIDES IN THE “HEAD”: Some project practitioners believes they have everything in their head and so there is no need to write down the project scope as this would be time and resource wasting. • INCOMPLETE PROJECT SCOPING: Some project practitioners do not take time to scope their projects as completely as possible because their experience shows them that revisions to their project is inevitable.

  6. WHAT DOES EFFECTIVE STAKEHOLDERS’ ENGAGEMENT ENTAILS? Presentation Title Presentation Title • CONSULTATION:Project Managers must meet with identified stakeholders to hear out their views, positions and opinions on key project deliverables. • NEGOTIATION:Project Managers consults with diverse stakeholders, each with his position. Project Managers needs soft selling skills to negotiate project deliverables so that a firm scope can be obtained. • COMPROMISE:some scope adjustments may appeal to the project sponsors and no amount of negotiation will change it. Project Managers must be savvy enough to compromise in such situations. • RELATIONSHIP BUILDING:Project Managers must be able to build relationships that transcends current projects, because the success of his current and future projects depends on relationships with stakeholders.

  7. HOW WELL CAN THIS TOOL BE USED TO MANAGE PROJECT SCOPE? Presentation Title Presentation Title • DEFINED PROJECT SUCCESS CRITERIA: engaging stakeholders will make it easy for project managers to have defined success criteria. On project completion, stakeholders will have no complaints on the product scope. • DEFINED PROJECT SCOPE: with onboarding of stakeholders from the beginning, all activities that goes into producing the product scope are captured and agreed by all. • UTILIZATION OF CHANGE CONTROL: change control mechanism would be easy to utilize on projects that stakeholders have commitment to its scope. Therefore any impact of scope on project constraint triangle will be appreciated. • AVOIDANCE OF GOLDPLATING: with everyone looking out for what is in the project and what is not, doing more than necessary will be quickly detected.
