  2. Session Outline • What is End of Session? • Assessment Periods • What is an ART? • GT ARTs (when to apply, what each ART does, BIRMS auto-calculation) • ARTs for non-standard programmes

What is End of Session? • Processing of examination results (marks and progress decisions) • When the Exam Board meets • end of a student’s programme year • end of the taught modules • after dissertation marking • Typical full-time Masters • May/June – end of taught module assessments • September – end of taught module re-assessments • October – end of programme following dissertation submission

  4. Assessment Periods (1) • Period of the academic year in which modules are assessed, marks are recorded and a Board of Examiners recommendation is made

  5. Assessment Periods (2) • Three Assessment Periods in BIRMS: • Main • Supplementary • PGT Dissertation

  6. Assessment Periods (3) • Main Assessment Period • For standard GT, this is the main examination period in May/June. • The first assessment opportunity for a module • Second sit opportunity for modules with Re-sit, Repeat and First Sit status, ‘carried’ from the previous academic year

Assessment Periods (4) • Supplementary Assessment Period • This is the re-assessment period, usually in August/September. • May have separate Exam Board or combined with final award Board in October • The second (and normally final) assessment opportunity for a module • First sit opportunity for students with mitigation

  8. Assessment Periods (5) • PGT Dissertation Period • For Postgraduate Taught Dissertations only • All dissertation marks – not predicated on time of year • Normally in October

  9. What is an ART? • ART stands for Academic Review Type • Progress decision • Exam Board recommendation/decision • Code representing the progression and award recommendation made by a Board of Examiners

  10. ART A – Proceed (1) USE FOR STUDENTS Part-time, who are not in the final year • Who have passed all their modules • Who do not have any re-sits to take • Who will be continuing on the same programme of study

ART A – Proceed (2) WHAT DOES IT DO? • Creates a new General Student Record in the next academic year • Changes their status to Expected to Re-register • Updates their programme year e.g. from year 1 to year 2 • Releases their marks so they are viewable on the my.bham portal • Allows them to re-register online

  12. ART A – Proceed (3) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • Main for Part-time programmes and students not in final year • Supplementary for Part-time programmes and students not in final year

  13. ART B - Successful Completion (1) USE FOR STUDENTS • Who are in their final year • Who have successfully completed the requirements of their programme • Who will be awarded the qualification for which they are registered

  14. ART B - Successful Completion (2) WHAT DOES IT DO • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Successful Completion) • Changes their Degree status to Completed so that they can graduate/receive certificate • Auto-calculates in BIRMS

ART B - Successful Completion (3) BIRMS AUTO-CALCULATION • All non-excluded modules must have a mark and a recommendation • Checks whether the student is in a graduatable year • Checks the number of attempted credits • Checks the number of achieved credits at the correct level • Calculates Overall Weighted Mean Mark

  16. ART B - Successful Completion (4) BIRMS AUTO-CALCULATION (continued) • Checks the number of achieved credits in taught modules (Masters programmes) • Calculates Taught modules Weighted Mean Mark (Masters programmes) • Calculates Dissertation module(s) Weighted Mean Mark (Masters programmes)

  17. ART B - Successful Completion (5) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • ART must be used in PGT Dissertation onlyfor MASTERS programmes • ART can be used in Main or Supplementary for Non-Masters GT or CPD programmes (PGCert, PGDip, GDip, GCert, BPhil, AdCert, UCert, UDip)

  19. ART D – Proceed with Outstanding Requirements (1) USE FOR STUDENTS Part-time, who are not in the final year • Who have re-sits to take, either in the Supplementary Assessment period or during the next academic year • Who will be continuing on the same programme of study

ART D – Proceed with Outstanding Requirements (2) WHAT DOES IT DO? • Creates a new General Student Record in the next academic year • Changes their status to Expected to Re-register • Updates their programme year e.g. from year 1 to year 2 • Registers them for re-sits or sits either in the Supplementary Assessment period or during the next academic year • Released with ‘SE’ module recommendations, will register student on the appropriate centrally timetabled ‘A’-code assessment • Releases their marks so they are viewable on the my.bham portal • Allows them to re-register online

  21. ART D – Proceed with Outstanding Requirements (3) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • Main for Part-time programmes and students not in final year • Supplementary for Part-time programmes and students not in final year

ART F – Withdraw (1) USE FOR STUDENTS • Who have insufficient credits/weighted mean to be awarded or continue their programme of study • Who have used up all their re-assessment opportunities for their failed modules • Who do not have enough credits to be awarded an alternative (lower) qualification

  23. ART F – Withdraw (2) WHAT DOES IT DO? • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Academic Failure) • Changes their Degree status to NO (Non-Successful) • Releases their marks so they are viewable on the my.bham portal

  24. ART F – Withdraw (3) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • Main for all programmes • Supplementary for all programmes • PGT Dissertation for Masters programmes only

ART G – Award Alternative Qualification (1) USE FOR STUDENTS • Who have insufficient credits/weighted mean to be awarded or continue their programme of study • Who have used up all their re-assessment opportunities for their failed modules • Who have enough credits & weighted mean to be awarded an alternative (lower) qualification

ART G – Award Alternative Qualification (2) WHAT DOES IT DO? • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Alternative Qualification) • Changes their Degree Congregation status to CO (Completed) • Allows for qualification certificate to be issued • Releases their marks so they are viewable on the my.bham portal

  27. ART G – Award Alternative Qualification (3) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • Main for all programmes • Supplementary for all programmes • PGT Dissertation for Masters programmes only

ART I – Satisfied Taught Requirements (1) USE FOR STUDENTS Masters programmes only BIRMS AUTO-CALCULATION • Who have gained credit in at least 80 credits at Level M • Who have weighted mean mark in taught modules of at least 50% • Who have all module marks 40% or more • Who have no further re-sit or sit opportunities outstanding (Main Assessment Period)

ART J – External Re-sit (1) USE FOR STUDENTS • Who have insufficient credits/weighted mean to be awarded the qualification they are registered for • Who have Sits or Re-sits to be taken in the next Academic Year • Masters students who have an extension or are required to re-submit their dissertation (used in PGT Dissertation assessment period)

ART J – External Re-sit (2) WHAT DOES IT DO? • Moves the student into the next academic year • Changes their status to External Re-sit • Does not update their programme year • Registers the student for their failed/outstanding modules in the next academic year with Re-sit (RS) or Sit (ST) status • Releases their marks so they are viewable on the my.bham portal • Does not allow students to re-register online • Will have visa implications for Visa National students

ART K – Internal Repeat (1) USE FOR STUDENTS • Who have insufficient credits/weighted mean to be awarded the qualification they are registered for • Who will be required to Repeat taught module(s) as a first or second attempt in the next Academic Year • Masters students will need to repeat the dissertation module as a first or second attempt (used in PGT Dissertation assessment period)

ART K – Internal Repeat (2) WHAT DOES IT DO? • Moves the student into the next academic year • Changes their status to Expected to Re-register • Does not update their programme year • Registers the student for their failed modules in the next academic year with Repeat (RP) or Sit (ST) status • Releases their marks so they are viewable on the my.bham portal • Allows students to re-register online

  36. ART K – Internal Repeat (3) WHICH ASSESSMENT PERIOD IN BIRMS CAN IT BE USED IN? • Main for all programmes • Supplementary for all programmes • PGT Dissertation for Masters programmes only

  37. ART N – Transfer to Masters, Proceed to Dissertation (1) USE FOR STUDENTS • Currently registered on PGDip programmes • Have satisfied the taught requirements • Have requested to continue onto the Masters programme

ART N – Transfer to Masters, Proceed to Dissertation (2) WHAT DOES IT DO? • Transfers them onto the Masters programme • Releases their marks so they are viewable on my.bham portal • Will update their fee record • If student is not currently in the final year of the Masters programme will also: • Create a new General Student Record in the next academic year if student not already on final year • Change their status to ER in the next academic year if not already on final year • Updates their programme year, e.g. from Year 1 to Year 2 • Allows them to re-register online

ART P – Proceed to Dissertation with Low Credit (1) USE FOR STUDENTS Full-time Masters or PT Masters in final Year • Have not satisfied the taught requirements for the Masters programme • Have no further opportunities of re-assessment in failed credits • Will continue with dissertation but will only be eligible for an alternative (lower) award

  47. ART V – Continue NSSD (1) USE FOR STUDENTS • Who have a non-standard start date • Who must be moved into the next academic year in order to re-register and retain access to University facilities, before an Exam Board decisions is made on the student’s progress

ART V – Continue NSSD (2) WHAT DOES IT DO? • Moves the students into the next academic year • Updates their status to Expected to Re-register • Does not update their programme year • Allows them to re-register online • Does not ‘lock’ the Assessment Period in BIRMS so a subsequent ART can be entered once an Exam Board recommendation has been approved. • Does not auto-calculate in BIRMS

  49. ART W – Release Marks (1) USE FOR STUDENTS • Who have marks for some but not all of their modules in the current academic year • Whose marks have been approved by an Exam Board • Who have not yet completed the requirements of their programme year, so no decision can be made on their progress

ART W – Release Marks (2) WHAT DOES IT DO? • Registers the student for supplementary assessments for any failed modules • Does not move the student into the next academic year • Does not update their programme year • Does not change their student status • Does not allow them to register online • Releases their marks so they are viewable on the my.bham portal • Does not ‘lock’ the Assessment Period in BIRMS so a subsequent ART can be entered once an Exam Board recommendation has been approved
